Job Description

The City of Golden is currently seeking a dedicated and experienced Special Events Coordinator to join its dynamic Communications Department. This is a regular full-time position that plays a crucial role in supporting the city's commitment to community involvement and exceptional public services. The Special Events Coordinator will report to the Communications and Community Engagement Director and will be responsible for planning, organizing, permitting, monitoring, and promoting various municipal and community events hosted on City property.

This role requires a candidate who can effectively administer the permitting process for community events proposed by private and non-profit groups, ensuring alignment with city policies and goals. The Special Events Coordinator will oversee all phases of city event management, including securing permits, venues, equipment, and necessary services such as food, beverages, and entertainment. The position demands a strong knowledge of emergency management best practices to ensure event safety, as well as a talent for fostering collaborations with community partners to enhance the city's economic vitality while being sensitive to residential impacts.

Additionally, the coordinator will be responsible for volunteer recruitment and supervision during events, leading the Special Event Review Committee, managing the Special Events Grant Program, and maintaining a community-wide event calendar to avoid conflicts. The role requires diligent financial management, including budget preparation, recommending fee structures, and expense monitoring. Candidates should be prepared to work evenings and weekends as needed, especially during peak summer event seasons, and maintain professionalism while dealing with diverse populations.

Job Qualifications

  • High school diploma or GED required
  • Bachelor’s degree in event management, non-profit management, public relations, marketing, business, public administration or related field preferred
  • Minimum three years of experience in mid to large scale public special event planning or community event management
  • Exceptional customer service and public relations skills
  • Ability to coordinate multiple vendors, contracts, volunteers, and assigned staff
  • Excellent written and verbal communication skills
  • Strong organizational skills
  • Proficient in MS Office and social media applications
  • Knowledge of principles and practices of special events management, public relations, marketing, promotions, and advertising
  • Experience in developing and administering event budgets
  • Understanding of emergency management and safety requirements
  • Ability to work independently and as part of a team

Job Duties

  • Administer and facilitate the permitting process for community events on city property
  • Plan, organize, and implement city-sponsored events
  • Coordinate planning and permitting with other city departments
  • Secure permits, venues, equipment, food/beverages, performers, and speakers for events
  • Ensure compliance with city special event permitting policies and procedures
  • Apply emergency management best practices for event safety
  • Collaborate with community partners to enhance economic vitality while minimizing residential impact
  • Recruit, direct, and supervise volunteers
  • Manage financial and administrative operations of programs such as block parties and arch banners
  • Lead the Special Event Review Committee including meeting coordination and member recruitment
  • Oversee the Special Events Grant Program including application review and grant administration
  • Serve as liaison between city staff, community partners, and event organizers
  • Maintain an up-to-date community-wide event calendar
  • Conduct evaluations of events and provide feedback to organizers
  • Oversee policy compliance during events including signage, traffic, parking, and trash management
  • Attend community and city council meetings and provide presentations as needed
  • Develop and monitor event budgets and recommend permit fee structures
  • Assume additional city event responsibilities as assigned
