The Special Events Associate role at Suncoast Beverage Sales is a dynamic and multifaceted position responsible for managing the coordination and execution of all special events and promotions. This includes overseeing community and promotional events, ensuring timely and professional execution from planning through to clean up. The associate is tasked with organizing equipment and supplies such as ice, balloons, and POS materials, scheduling staff, setting up venues, breaking down and cleaning after events, and handling all related paperwork with meticulous attention to detail. This paperwork comprises proposals, checklists, check requests, event summaries, and budget analyses, all of which are critical for successful event management.

A noteworthy aspect of this role is the responsibility towards inventory management. The Special Events Associate administers all POS materials, neons, and promotional products by receiving, inventorying, organizing, and distributing them efficiently. They must ensure compliance with company guidelines, including neon repair and maintenance, and adhere strictly to safety and sales compliance standards. The position requires coordination with the Marketing Manager, to whom the associate reports directly, to review budgets and staffing needs prior to events.

Daily and monthly reporting is a key part of the role. The associate completes daily agendas and call reports in detail, allowing for a thorough review by the Marketing Manager. Invoice management and payment collection post-event are essential responsibilities, with an expectation to complete invoicing within a 10-day window. Additionally, the role demands oversight of equipment maintenance including trucks, cold plates, CO2 tanks, cups, and other event materials. The associate ensures trailers are in proper working condition in compliance with Department of Transportation (DOT) regulations, including completing vehicle inspections.

This job requires a blend of physical capability and intellectual diligence. The associate must be physically able to lift and move equipment, sometimes up to 162 pounds, and must be computer literate to handle inventory tracking software and prepare accurate documentation. Strong communication skills, both oral and written, are vital to maintain organization, coordinate with various stakeholders, and provide professional representation of the company during events. The position may require weekend work and necessitates a clean driving record, with a Class A CDL license preferred.

Job Duties

  • Coordinate and execute special events promotions and community events in a timely and professional manner
  • attend all meetings required for event planning
  • organize equipment and supplies such as ice balloons POS etc
  • schedule staffing set up break down and clean up
  • complete all corresponding paperwork associated with events such as proposals checklists check requests event summaries and budget analysis
  • complete event recap paperwork no later than Monday breaking down all products sold by package including cost analysis and payroll summary
  • invoice special events through proper company channels and collect payment within 10 days
  • review budget and staffing with Marketing Manager prior to events
  • complete daily agenda and call report accurately and in detail for monthly review by Marketing Manager
  • research Beverage Activity report for permits
  • inventory and clean equipment including trucks cold plates CO2 tanks tubs troughs and cups
  • ensure all trailers are in working condition and Vehicle Inspections are completed according to DOT regulations
  • unload and reconcile inventory clean lines and trailer after each event
  • manage inventory of all POS materials identify stock voids and opportunities budget order and track following company guidelines and compliance with Anheuser-Busch equity agreement using internal POS tracking software
  • maintain permanent paper and PPG rooms ensuring organization and cleanliness to company standards
  • ensure all permanent POS orders are printed daily and distributed to appropriate personnel
  • repair neons in compliance with company safety standards
  • adhere to company standards guidelines policies and procedures
  • perform other management requested tasks affiliated with the position
