The Special Events Associate position at Suncoast Beverage is a dynamic role dedicated to the coordination and execution of all special events and promotional activities. Reporting directly to the Marketing Manager, this position plays a pivotal role in ensuring that brand promotions and community events are carried out efficiently and professionally. Responsibilities include managing all aspects of event planning such as attending meetings, organizing equipment and supplies, scheduling staff, and overseeing event setup and breakdown. Attention to detail is paramount, as the role requires comprehensive handling of administrative duties including proposals, checklists, budget analysis, and paperwork like event recaps and payroll summaries.
Additionally, the Special Events Associate is responsible for inventory management of point of sale materials, neons, and promotional products, ensuring timely receipt, organization, and distribution. The role demands compliance with company guidelines, especially concerning equipment maintenance, neon repairs, and adherence to safety regulations such as DOT vehicle inspection standards. This position requires strong communication skills and the ability to manage multiple tasks efficiently, including budget review, invoicing, and report completion. Weekend availability, physical stamina to handle equipment lifting, and a clean driving record are essential. Those with a Class A CDL license will have a preferred standing. Job Duties
- Coordinate and execute special events and promotions in a timely and professional manner
- Attend event planning meetings and organize equipment and supplies
- Schedule staffing and manage event setup, break down, and clean up
- Complete all event-related paperwork including proposals, checklists, check requests, event summaries, and budget analyses
- Submit event recaps with detailed product sales and cost analysis no later than Monday
- Invoice special events through proper company channels and collect payments within 10 days
- Review event budgets and staffing with Marketing Manager prior to events
- Prepare and complete accurate daily agendas and call reports for monthly review
- Research Beverage Activity reports for all short-term permits
- Inventory and clean equipment such as trucks, cold plates, CO2 tanks, tubs, troughs, and cups
- Ensure trailers are in working condition and complete vehicle inspections following DOT regulations
- Unload and reconcile inventory, and clean lines and trailers after events
- Manage inventory of all POS materials by identifying stock voids and opportunities, budgeting, ordering, and tracking according to company guidelines and Anheuser-Busch equity agreements
- Maintain organization and cleanliness of permanent paper and PPG rooms
- Distribute printed permanent POS orders daily to appropriate personnel
- Repair neons in compliance with company safety standards
- Adhere to all company standards, guidelines, policies, and procedures
- Perform other management-requested tasks relevant to the position.
