Job Requirements
- Valid driver license at time of appointment
- Valid Florida driver license within 30 days of appointment and throughout employment
- State of Florida Notary Public license may be required
- NCIC or FCIC certification must be obtained within six months and maintained
- Ability to perform physical tasks including lifting up to 30 pounds and working outdoors
- Availability to work outside regular schedule including evenings and weekends
- Ability to maintain confidentiality when handling background check information
- Ability to work collaboratively with various city departments and community partners
Job Qualifications
- Associate degree in public relations, event management, business or public administration or related field
- Two years of administrative and staff support experience in municipal event permits or event planning
- Or high school diploma or equivalent plus four years of relevant experience
- Valid Florida Driver License within 30 days of appointment
- Must obtain and maintain National Crime Information Center or Florida Crime Information Center certification within six months of appointment
- Knowledge of special event management principles and public relations
- Ability to use Microsoft Office and relevant software
- Strong organizational and communication skills
- Ability to work with diverse populations and multiple departments
Job Duties
- Operates as the program coordinator for the City's special event permit initiative by developing and coordinating services for programs and events within the City
- Serves as the primary contact to event organizers and various City departments to facilitate permits
- Administers and facilitates Gainesville Police Department's involvement in community events including special events, alcohol, and special sales permitting
- Guides and educates event organizers through the City special event permit process ensuring compliance with ordinances
- Coordinates and leads bi-weekly meetings with City departments involved in special events permitting
- Creates cost estimates and invoices for event organizers
- Monitors and updates special events software programs and calendar
- Communicates denied permits with clarity
- Administers and coordinates scheduling of GPD staff for extra duty assignments
- Works with public safety agencies during large events such as University of Florida football games
- Prepares and submits monthly vendor billing invoices and interdepartmental billing for services
- Attends community meetings and event planning sessions
- Performs other related duties as assigned
- May notarize documents as needed
