Job Requirements

  • Valid driver license at time of appointment
  • Valid Florida driver license within thirty days of appointment
  • Must obtain and maintain NCIC and/or FCIC certification
  • Ability to lift and carry up to 30 pounds
  • Ability to work outside of regular schedule including weekends and evenings
  • Ability to remain calm and productive under tight deadlines
  • Ability to work with diverse populations and agencies
  • Ability to drive a city vehicle for event site visits
  • May require notarization duties and assessment tests
  • State of Florida notary public license may be required depending on assignment

Job Qualifications

  • Associate degree with coursework in public relations, event management, business or public administration or related field
  • Two years of administrative and staff support experience in municipal event permit applications or event planning
  • High school diploma or equivalent with four years of similar experience
  • Ability to use Microsoft Word, Outlook, and Excel
  • Knowledge of principles and practices of special events management and vendor contractual agreements
  • Strong communication skills, both oral and written
  • Ability to work effectively with diverse populations and departments
  • Ability to maintain complex database management systems
  • Ability to plan, organize and coordinate multiple events
  • NCIC and/or FCIC certification within six months of appointment

Job Duties

  • Operate as program coordinator for the city’s special event permit initiative
  • Serve as primary contact to event organizers and city departments
  • Administer and facilitate GPD’s involvement in special events permitting
  • Guide and educate event organizers through the special event permit process
  • Coordinate and lead bi-weekly meetings with city departments
  • Create cost estimates and invoices for event organizers
  • Perform individual background checks using NCIC or FCIC
  • Monitor and update special events software and calendar
  • Follow up with event holders to ensure policy compliance
  • Conduct onsite visits to assess event setups
  • Administer and coordinate scheduling of GPD staff for extra duty assignments
  • Prepare and submit monthly vendor billing invoices
  • Attend planning meetings for large or new special events
  • Communicate effectively with officers in charge of events
  • Work with public safety agencies during University of Florida football games
  • Maintain detailed records of vendor work and event assignments
