The role of Special Event Monitor with KU Recreation Services involves providing essential on-site assistance and supervision for special events and reservations taking place across various KU recreation facilities. The position demands active supervision of participants and events to ensure the safety and well-being of all individuals involved, as well as the integrity of the recreation services' equipment and facilities. This role requires vigilance in enforcing KU Recreation Services' policies and procedures, maintaining high standards of professionalism, and demonstrating a commitment to risk management.

Special Event Monitors are responsible for working flexible and variable shifts, which may include early morning, afternoon, evening, and late-night hours on weekdays and weekends. The role is essential year-round and requires an adaptable approach to meet the scheduling demands of different events. Special Event Monitors must be certified in CPR/AED within one month of hire, with training provided for those not currently holding certification. This commitment to safety certification underscores the role's critical focus on emergency preparedness and risk mitigation.

In fulfilling their duties, Special Event Monitors oversee the setup and breakdown of event equipment, manage the collection of participant waivers, carry essential communication and emergency response tools, and complete detailed reports on event occurrences. They must maintain clear and effective communication with event participants, KU Recreation Services staff, co-workers, and guests while employing conflict resolution strategies and ensuring all safety hazards are appropriately addressed. Job Requirements

  • High school diploma or equivalent
  • Willingness to obtain CPR/AED certification within one month of hire

Job Duties

  • Actively supervise all special event and reservation participants to ensure safety to individuals and KU Recreation Services facilities and equipment
  • Enforcement of all KU Recreation Services facility policies and procedures
  • Work all shifts as assigned
  • Substitute shifts when available
  • Implement risk management procedures and protocols when necessary
  • Be available to staff events at ASRFC, Shenk Sports Complex, Superfield, Central Field, Outdoor Volleyball, and Tennis Courts sites
  • Ensure all participants have signed a participant waiver
  • Carry radio, iPad, necessary keys, and emergency items to all events
  • Complete duties assigned by Facility Supervisors and Special Events Program Manager
  • Provide and set up necessary equipment for events
  • Tear down, clean, and store event equipment
  • Complete event monitor reports with detailed information
  • Document broken equipment for follow up
  • File reports on high-risk scenarios
  • Maintain effective communication with participants, guests, co-workers, and staff
  • Exceed customer service expectations
  • Resolve conflicts and handle on-site issues
  • Inform participants about equipment care responsibility
  • Identify and respond to safety hazards
  • Ensure a safe environment through preventative supervision and cooperation with staff and law enforcement
  • Decide on event continuation or cancellation due to weather
  • Disseminate accurate information to patrons
  • Attend scheduled meetings and shifts on time
  • Assist in facility areas as needed
