The Special Event Coordinator role at Carvertise is a full-time opportunity that demands a detail-oriented, adaptable, and proactive professional. This position plays a crucial role in ensuring the flawless execution of special driver events that are essential to meeting client campaign goals. The coordinator will be responsible for overseeing the logistics and operations of both standard and unique events, whether these occur remotely or in person, including targeted marketing swarms and conference-related activations. Through constant communication, problem-solving, and hands-on management, the coordinator ensures that drivers meet campaign targets and that all client expectations are seamlessly fulfilled.
This role requires a flexible work schedule, typically Monday through Friday from 11 am to 7:30 pm, but also demands availability for evening, weekend, and holiday events to cover a busy event calendar. Approximately 50% travel is expected, including overnight stays and weekend trips, to maintain a strong on-the-ground presence across diverse event venues. The coordinator will be a key liaison between drivers, clients, and internal teams, providing timely updates, troubleshooting driver tracking issues, and managing driver surveys and contests aimed at enhancing engagement and campaign success.
In addition to event coordination, the Special Event Coordinator will generate and analyze reports on campaign execution and milestones, delivering insights to both clients and Carvertise leadership. This role supports process improvement initiatives and contributes to the development of training resources and operational procedures that enhance team performance and efficiency. With a keen eye for detail and a passion for exceptional customer service, the coordinator helps to cultivate a positive driver experience and strengthen Carvertise’s company culture.

Job Requirements
- Bachelor’s degree in business, communication, or equivalent discipline preferred
- minimum 2 years experience in an event execution setting preferred
- strong verbal and written communication skills
- ability to multitask effectively and reprioritize as needed
- self-motivated and results-driven
- compliance with processes and policies
- creativity in problem solving
- adaptability and willingness to embrace process improvements
- computer proficiency including CRM, ERP, Google Suite, Airtable, and email systems
- ability to remain seated for extended periods

Job Qualifications

Job Duties
- Execute standard and unique campaign events including SWARMS and conference requests
- maintain availability during campaign execution and coordinate driver logistics
- own event execution identifying and resolving gaps with incentives and contests
- communicate regularly with drivers about events and app tracking
- generate scheduled and ad hoc reports for clients and internal teams
- maintain and troubleshoot driver tracking systems
- launch driver surveys, contests, and events on a regular basis
- provide on-the-job training and support to team members
- participate in departmental process improvement initiatives
- perform special projects and other duties as assigned
