The role in focus is a Spa Coordinator who plays a pivotal role in managing all facets of guest movement within the spa and affiliated facilities. The Spa Coordinator is the frontline ambassador for the spa, responsible for greeting guests, guiding them through the facility, scheduling services, processing payments, and providing comprehensive information on available amenities. Beyond guest interaction, this role supports overall communication within the spa, salon, recreation, and fitness areas, ensuring smooth operational flow and enhanced guest satisfaction.
In addition to guest service, the Spa Coordinator assists management with administrative duties such as ensuring payroll accuracy, handling inquiries from staff, and maintaining records. Attention to detail is crucial as the role involves monitoring cleanliness and orderliness of guest areas, restocking supplies, managing retail merchandise, and acting as a liaison with housekeeping and engineering to resolve any maintenance or operational issues. The position requires the ability to open and close the facility according to established procedures and to reconcile daily sales transactions accurately.
Handling guest complaints diplomatically within the scope of authority and escalating significant issues to management is a key responsibility, emphasizing the importance of excellent communication and problem-solving skills. The Spa Coordinator must adhere strictly to safety protocols, including the use of Personal Protective Equipment (PPE) and compliance with hazardous material handling (HAZMAT) standards. Since the hospitality environment is dynamic, the role demands flexibility to work varied schedules including holidays, weekends, and different shifts to meet the business needs.
The Spa Coordinator is expected to possess basic math skills, proficiency in computer and telephone systems, and a good understanding of Microsoft Office. While no formal education is required, prior experience in sales, guest relations, or spa environments is desirable, along with first aid and CPR certification. The role is physically engaging, requiring the ability to stand, walk, grasp, lift, and manage various physical demands while maintaining a professional and pleasant demeanor to foster guest satisfaction and operational excellence.

Job Duties
- Receives and responds to inquiries regarding spa services and amenities
- schedules spa, salon, and fitness appointments for guests and distributes workload to increase productivity
- welcomes and escorts guests to waiting areas or lounges
- assists guests with purchasing retail products
- promotes additional treatments to increase profitability
- monitors guest areas to ensure cleanliness and orderliness
- opens and closes the facility according to spa policies and procedures
- reconciles and balances daily sales at the close of shift
