The Phoenician, a Luxury Collection Resort located in Scottsdale, Arizona, is a prestigious resort known for its exceptional service, elegant accommodations, and outstanding amenities. This full-time, non-management role is centered around providing excellent administrative support and serving as a vital point of contact between the resort and its guests. The position is based onsite at The Phoenician, located at 6000 E Camelback Rd, Scottsdale, Arizona. It requires open availability to best support the dynamic environment of a luxury resort. The core responsibilities involve managing communications with guests via phone and email, handling database entries and retrieval, and ensuring guest requests and inquiries are addressed promptly and professionally. The ideal candidate will be proficient in standard office equipment and software including word processors, spreadsheets, databases, and presentation programs.
In this role, the successful applicant will be expected to maintain company policies and ensure professional appearance and confidentiality at all times. Greeting guests according to company standards, anticipating and responding to guest needs, and assisting guests with disabilities are essential elements of the job. Effective and clear communication skills are crucial as the role includes drafting letters, memos, and other documents as well as managing telephone protocols. Building positive working relationships with colleagues across departments and supporting team objectives will contribute significantly to the overall guest experience and operational success. The position demands responsibility for safety awareness, reporting accidents or unsafe conditions, and the ability to move and handle objects up to 10 pounds, facilitating the efficient running of daily duties.

Job Requirements
- High school diploma or equivalent
- Previous experience in administrative or customer service roles
- Proficient in computer and office software applications
- Excellent communication and interpersonal skills
- Ability to work full-time with open availability preferred
- Ability to handle tasks requiring physical activity such as lifting objects up to 10 pounds
- Professional appearance and discretion with confidential information
- Ability to work in a dynamic, fast-paced hospitality environment
- Willingness to comply with company policies and procedures.
Job Qualifications
- High school diploma or equivalent
- Experience in administrative or customer service roles preferred
- Proficiency with standard office software including word processors, spreadsheets, and databases
- Excellent communication skills both verbal and written
- Ability to handle multiple tasks efficiently and maintain attention to detail
- Comfortable using office equipment and technology
- Ability to work in a fast-paced environment and provide excellent guest service
- Strong interpersonal skills and ability to work collaboratively in a team environment
- Bilingual skills are a plus but not required.
Job Duties
- Serve as point of contact with customers and communicate with them by phone and email to respond to inquiries and requests
- Enter and retrieve information from computer databases using keyboard, mouse, or trackball to update files, records, and reservations and respond to guest inquiries
- Operate standard office equipment apart from computers
- Compose letters, memos, and other documents using word processors, spreadsheets, databases, or presentation software
- Transmit information or documentation using computer, mail, or fax including reviewing and editing written information for accuracy and completeness
- Enter and locate job-related information using computers and/or point of sale systems
- Comply with all company policies and procedures, maintain a neat and professional appearance and confidentiality of proprietary information
- Greet all guests in accordance with company standards, anticipate their service needs and respond accordingly
- Speak clearly and professionally with others, prepare and proofread accurate and complete written documents and answer phones using proper protocol
- Cultivate and sustain positive working relationships with other employees and departments, support team objectives and respond appropriately to employee concerns
- Report accidents, injuries, and unsafe work conditions to management
- Move, lift, transport, push, drag, and position objects weighing up to 10 pounds without assistance
- Perform other reasonable job duties as requested by supervisors.
