As a Spa Coordinator at Woodhouse Spa, you will play a vital role as the first and last impression for every guest entering the spa. This position is integral to delivering service that not only meets but exceeds guest expectations. You will be the primary support for the spa’s manager, therapists, and guests, ensuring smooth daily operations and a memorable guest experience from the moment they arrive until they leave. Your responsibilities include managing appointment scheduling, recommending suitable services, and supporting retail sales by educating guests on products and encouraging repeat visits. You will embody the Woodhouse brand by providing a warm welcome, assisting guests with their needs, and remembering small personal touches that make the spa experience exceptional, such as favorite drinks or celebratory occasions. The role requires excellent communication skills, attention to detail, and a passion for delivering outstanding guest service. Job Requirements
- High school diploma or equivalent
- ability to work weekends and some holidays
- excellent communication skills
- customer service experience
- basic accounting skills for daily closing
- ability to stand and bend over for extended periods
- ability to lift up to 45 lbs
- compliance with all company policies and procedures
- regular and consistent attendance
- flexibility to work Sundays
Job Qualifications
- High school diploma or equivalent required
- ability to work in a fast-paced environment and maintain professionalism
- ability to pivot and navigate through change management
- comfortable interacting with guests in a spa setting
- leadership experience in a similar role or front-office operations
- comfort level with driving company sales goals and initiatives
- proficiency in English language (reading, writing, and verbal)
- computer proficiency
- previous customer service and telephone reservations experience
- basic accounting skills (for daily closing procedures)
- familiarity with Book4Time software preferred
Job Duties
- Be a steward of the Woodhouse brand
- serve as primary support for the spa’s manager, therapists, and guests
- ensure every guest has a friendly, inviting, and memorable experience
- answer incoming calls, listen to guest needs to schedule appointments, provide service recommendations and collect payment
- partner with therapists to increase guest retention and retail sales by scheduling next appointments and promoting products
- educate guests on the Woodhouse experience including locker room and amenities introduction
- drive service and retail sales awareness by educating guests on products and services
- remember small details that make the Woodhouse Spa special such as guest's favorite drink or personal information like birthdays
- comply with all company policies and procedures
- work weekends and some holidays as required
