The Site Lead position at the Francis Perkins Building is a critical role within GSMA's service team. As the primary onsite supervisory authority, the Site Lead is tasked with overseeing the performance and conduct of all contractor employees engaged in conference support services under this contract. This role requires a thorough understanding of Department of Labor rules, regulations, and safety practices to ensure compliance and maintain high standards of work performance. The Site Lead holds full authority to manage staffing and operational decisions, including the ability to dismiss personnel from the site when necessary, thereby upholding the integrity and quality of service delivery.

Responsibilities include implementing and enforcing the Contractor quality control program, managing the scheduling and event management system to handle customer requests accurately, and coordinating with DOL officials to prioritize and delegate tasks effectively. The Site Lead must ensure adequate staffing levels in accordance with the contract statement of work, maintain productive communication channels with DOL agencies to address performance questions or concerns, and oversee the proper operation and maintenance of conference center equipment. Proficiency in audiovisual technology setup and conference room configuration is essential, as is the ability to manage logistical support tasks such as room walkthroughs, staging, and the upkeep of a professional conference environment.

Other important duties include greeting event guests, fulfilling additional meeting planner requests, participating in pre-conference meetings, and using software platforms to track events and manage user profiles. The Site Lead is expected to maintain constant communication with team members, stakeholders, and other agencies involved in event support services. This position requires availability during business hours and responsiveness to technical issues, ensuring that the facilities are always presentable and fully equipped for meetings. Physical readiness to handle equipment and furnishings, including the ability to lift up to 50 pounds, is also necessary.

To excel in this role, the Site Lead must have substantial supervisory experience, particularly in conference services and audiovisual equipment management. The role demands strong leadership, organizational, and communication skills, alongside proficiency with Microsoft Office applications. Certification as an Audiovisual and Integrated Experience Association Certified Technology Specialist (AVIXA CTS) or equivalent experience is mandatory. The role also emphasizes adherence to drug and alcohol policies, with candidates required to maintain a clean record and consent to periodic testing.

Job Requirements

  • Five years of supervisory experience
  • Two years relevant experience in conference services and audiovisual equipment
  • AVIXA CTS certification or equivalent experience
  • Proven experience in meeting planning and conference techniques
  • Proficiency in Microsoft Office Suite
  • Ability to communicate clearly and professionally
  • Ability to perform under pressure and solve meeting planner concerns
  • Must be alcohol and drug free and willing to submit to periodic drug testing
  • Ability to lift 50 pounds
  • Availability to respond promptly between 7:00 am and 4:45 pm EST Monday through Friday
  • Prior written approval required for site lead replacement

Job Qualifications

  • High school diploma, GED, or equivalent
  • At least five years of supervisory experience
  • Two years of relevant experience in conference services and audiovisual equipment
  • AVIXA Certified Technology Specialist (CTS) certification or equivalent experience
  • Proven experience in meeting planning and conference logistics including schedule management and food and beverage planning
  • Proficiency in Microsoft Office Suite, especially Outlook, Word, and Excel
  • Ability to communicate effectively in one-on-one and small group settings
  • Strong problem-solving skills and ability to work under pressure
  • Experience utilizing resource management systems for meeting logistics
  • Must be alcohol and drug free and consent to periodic testing

Job Duties

  • Ensure contractor employees comply with Department of Labor rules and safety practices
  • Act with full authority on matters related to contract service performance including employee dismissal
  • Enforce contractor quality control program
  • Initiate, modify, and cancel customer requests in scheduling/event management system
  • Work with DOL officials to prioritize, delegate and supervise work
  • Ensure adequate contractor coverage in accordance with the statement of work
  • Organize and manage conference services and audiovisual support tasks including setup and breakdown
  • Provide logistical support and conduct walkthroughs for events
  • Maintain professional appearance and readiness of conference center
  • Communicate regularly with team members, stakeholders, and building management regarding event services
  • Respond promptly to Contracting Officer Representative notifications
  • Manage daily workload reports and use software platforms for event management
  • Handle equipment issues and ensure proper care and safeguarding of government property
  • Greet guests at meetings and fulfill additional meeting planner requests
  • Participate in pre-conference meetings and confirm arrangements via phone or email
