The Site Coordinator role based in Oklahoma City, OK, is a critical position within the Business Support Services team responsible for ensuring smooth operations and fostering a positive workplace culture on-site. This full-time, on-site role offers a competitive salary range of approximately $42,000 to $52,500 annually, depending on experience and skills. The Site Coordinator acts as the connective hub between information, team members, and leadership, providing essential administrative support that helps execute programs and projects in alignment with the company’s strategic goals. A key focus of this position is to manifest and strengthen the company’s culture through engagement initiatives, events, and incentive programs.
The candidate will manage a wide variety of tasks including maintaining accurate performance reporting for incentive and operations metrics on a weekly basis, partnering with senior leaders to roll out impactful initiatives, and undertaking comprehensive office administrative duties such as generating reports and presentations, coordinating meetings, and managing supplies and inventories. Event planning and coordination are also vital aspects of this role, including facilitating site visits, scheduling events and lunches, and collaborating closely with the Corporate Event planner to ensure seamless execution. The Site Coordinator is expected to nurture vendor relationships, handle logistics and budgeting for events, and keep meeting spaces and facilities well-maintained and stocked.
Further responsibilities include providing real-time scheduling support to prevent appointment conflicts, analyzing data and reports to assist leadership decision-making, contributing to the development and rollout of policies and procedures, and supporting the administration of small projects that promote team goals. Strong organizational, communication, and relationship-building skills are critical for success in this role, as is the ability to multitask and strategically manage time and resources. Proficiency in Microsoft Office, Outlook, and design tools such as Canva or Cricket is highly valued, alongside experience in customer service and administrative environments.

Job Requirements
- 1-3 years of industry experience or a related customer service experience required
- Some college coursework preferred
- Previous administrative, human resource, and customer service experience preferred
- Previous experience in people management and related experience in front desk, concierge, hospitality, or customer service roles is preferred
- High-volume call center/contact center experience preferred

Job Duties
- Accurately report and post the performance for incentive and operations reports on a weekly basis
- Partner with senior leaders to drive high-impact initiatives, programs, events, and incentives that affect team member engagement and strengthen our culture
- Handle office tasks, generate reports and presentations, and set up for site meetings
- Coordinate, plan, and facilitate site visits and activities
- Provide real-time scheduling support by booking appointments and preventing conflicts
- Work with the Corporate Event planner to execute the vision on-site
- Plan and schedule lunches/events and prepare and distribute marketing/communication to the site
- Order/reorder supplies and take inventory monthly
- Ensure lounges, conference rooms, and facilities are stocked and well-maintained
- Nurture and build relationships with vendors, venues, and other industry contacts to craft and implement creative and logistical aspects of events
- Manage deadlines and budget demands
- Coordinate with internal staff and others to identify event needs
- Pull and organize data and reports to highlight changes or decisions needed to keep the team on track with goals and objectives
- Help manage the administration of small projects or programs that help drive team goals and initiatives forward
- Attend meetings to provide business support’s unique perspective, assist with keeping the conversation on track, and record important decisions/takeaways
- Assist in the development of new policies and procedures and rollout to the employees at each site
