Job Description
ShowSpan is a premier event production company with a rich history spanning over 80 years. As one of the largest independent producers of public consumer shows in the nation, ShowSpan organizes 15 highly anticipated events annually. Their mission is to connect communities, people, and passions by delivering top-tier consumer shows that serve as a dynamic platform for retailers and their suppliers. We are currently seeking a Show Office Manager to join our dedicated team. This role is central to the seamless operation of our events, providing vital administrative support to the Show Manager, Producer, and Sales team while also offering top-notch customer service and financial recordkeeping to support exhibitors. The ideal candidate will embody our core company values, bringing energy, authenticity, and a commitment to exceeding expectations to their work. This position involves a multifaceted approach to event management, including vendor communications, contract processing, motivating and managing temporary staff, and ensuring a well-run show office environment.
In this capacity, the Show Office Manager will be responsible for assisting with project management tasks, coordinating preshow information, and maintaining consistency in operational processes across various shows. They will exercise strong leadership skills to independently resolve conflicts, especially in the dynamic atmosphere of a live show, and oversee temporary staff and subcontractor services. Communication is key in this role, as the manager will initiate interaction with internal teams and external contacts frequently through emails, phone calls, and other communication methods.
Financial expertise is also essential, with responsibilities including managing exhibitor accounts receivable and delivering weekly sales reports. Additionally, managing logistics in the show office—such as spending oversight, staffing, and supply management—forms a core part of the role, alongside collaboration with the box office to report event attendance figures. The job demands a candidate who is physically capable and comfortable working under pressure during the busy show season, which includes extended hours, nights, weekends, and multiple consecutive days of work. This is a full-time role with seasonal workhours detailed as follows: from April to December, Monday through Friday, 8 AM to 5 PM; and during the show season from January to March, extended and flexible hours to cover the full run of events onsite.

Job Requirements
- Previous professional experience in event management, customer service, or hospitality
- Proficiency with Microsoft Office including Outlook, Teams, Word, Excel, and OneDrive
- Physical stamina for moderate physical exertion including bending, kneeling, stooping, standing, and lifting up to 50 lbs
- Ability to work nights, weekends, and extended hours during show season
- Strong organizational skills and attention to detail
- Excellent communication skills
- Ability to manage deadlines and work independently
- Ability to motivate and manage staff
- Reliable and trustworthy
Job Qualifications
- Previous professional experience in event management, customer service, hospitality, and experience with computer software is advantageous
- Proficiency with Microsoft Office and collaboration tools, including Outlook, Teams, Word, Excel, and OneDrive
- Experience working with CRM is a plus
- Comfortable learning new software and working with various technology tools
- Ability to work independently on tasks
- Ability to collaborate with a team, manage deadlines and be confident under pressure
- Strong organizational and leadership skills
- Detail oriented to manage tasks across shows and specific to show needs
- Excellent interpersonal, written and verbal communication skills
- Ability to travel, work nights, weekends and extended hours as needed
Job Duties
- Assist Show Manager with event and project management, vendor communication, sales and prioritizing tasks
- Perform various administrative tasks such as processing exhibitor contracts and preshow information, and coordinating with company counterparts to maintain consistency in processes across shows
- Motivate, manage and resolve conflicts independently on a regular basis, especially during a show
- Management of temporary staff and subcontracted services
- Initiate communication with individuals both inside and outside the organization through emails, phone calls, and other forms of communication
- Manage exhibitor accounts receivable and provide weekly sales reporting
- Set up and manage show office and exhibitor lounge to include spending, hourly staffing, meals and supplies
