This open, inclusive environment is now seeking to add a Hospitality and General Office Services Support team member. This 100% onsite role is ideal for a dedicated, versatile individual who excels in delivering elevated concierge-style hospitality while also managing a variety of administrative duties. The role offers a comprehensive scope of responsibilities ranging from greeting and welcoming guests with warmth to providing exceptional customer service, coordinating client events, and supporting general office operations such as printing, mail distribution, and reception coverage. The candidate will work primarily from 8:00 a.m. to 5:00 p.m., with some flexibility to accommodate client events, including occasional early mornings, evenings, and weekends.

The Hospitality aspect will require managing event coordination tasks including vendor communications, room set-ups, and maintaining professional presentation standards for catering. Keeping the hospitality area clean, organized, and fully stocked also forms a key part of the duties. On the administrative end, the role demands efficient handling of copying, printing, scanning, and meticulous document organization while ensuring equipment is functioning properly. This position also involves sorting and managing incoming and outgoing mail and sustaining accurate records. Inventory management of hospitality supplies is critical, as is facilities support, including receiving and fulfilling facility service requests, overseeing cleanliness in common client areas, and assisting with miscellaneous maintenance tasks such as hanging pictures.

Applicants should possess a high school diploma or equivalent, with additional education or certifications in hospitality or office administration viewed favorably. Previous experience in hospitality or administrative support is advantageous. Essential skills include excellent communication abilities, patience, tact, diplomacy, and the manual dexterity required for operating office equipment. Familiarity with event management systems such as Maptician or EMS is desirable. Proficiency in Microsoft Office Suite is also expected, along with strong organizational, multitasking, and critical thinking skills. The ability to perform physical tasks such as lifting up to 40 pounds and maneuvering wheeled carts is necessary. This position offers a competitive hourly pay range between $17.26 and $20.32, with potential eligibility for an annual bonus. The final salary will depend on the candidate’s location, skills, experience, and qualifications.

Job Duties

  • greet and welcome guests in a warm and friendly manner
  • provide excellent client elevated concierge-style hospitality support to all end-users at the site
  • assist with event planning and coordination
  • coordinate between off-site catering vendors and client event hosts
  • manage room set-ups and break-down and table/chair configurations
  • ensure professional presentation of catered food, beverages, and flatware
  • ensure the hospitality area is clean, organized, and well-stocked
  • provide exceptional customer service to clients and visitors
  • compile, collect, and report all data necessary to provide the client with monthly management reports
  • assist with copying, scanning, and printing documents
  • ensure that all copies are accurate and of high quality
  • maintain and organize digital and physical copies of important documents
  • ensure devices are operating efficiently and place service calls as needed
  • sort and distribute incoming mail and packages
  • prepare and send outgoing mail and packages
  • maintain accurate records of all incoming and outgoing mail
  • maintain inventory of hospitality supplies and ensure timely replenishment
  • place orders for new supplies as needed
  • ensure that all supplies are stored properly and are easily accessible
  • complete facilities requests as received
  • hang pictures
  • assist with overall cleanliness and organization of common client-facing areas including but not limited to reception, conference rooms, lounges and comfort areas
