Job Description

Associated Students, Inc. (ASI) at Sacramento State University is a leading organization dedicated to enhancing the student experience through various programs, services, and events. ASI serves as a pivotal link between the university administration and the student body, advocating for student needs, fostering community engagement, and promoting leadership opportunities. The Event Coordinator plays a crucial role within ASI's Student Engagement and Outreach team by assisting with the planning and execution of a wide array of events each semester. This position supports the Marketing and Outreach Manager and works closely with the A-Team and other stakeholders to develop events that encourage student participation and awareness of ASI services. The role involves coordinating logistics such as securing venues, arranging catering, managing vendors, and preparing necessary materials to ensure event success. Key events include ASI Week programs, Block Party, Thanksgiving Food Basket Donation Drive, Farmworker Awareness Week, student government election events, and food pantry drives, among others.

In addition to event logistics, the Event Coordinator collaborates with graphic designers and communications teams to promote events across campus effectively. This role also requires organizing and facilitating planning meetings, serving on various committees such as the Election Planning Group and Block Party Planning Committee, and developing new service and government-related events to broaden ASI's outreach. Effective communication with the Marketing & Outreach Manager concerning progress and challenges is essential for smooth operations.

The Event Coordinator must maintain organized program materials and provide hands-on support during events, including setup and takedown. Attendance at mandatory department meetings and activities is expected, with possible work during term breaks to prepare for forthcoming events. Candidates should possess strong organizational, communication, interpersonal, and problem-solving skills, and demonstrate the ability to manage multiple tasks and heavier workloads during peak times. This position requires flexibility to work evenings and some weekends, up to 20 hours per week during academic terms, making it ideal for students balancing coursework with gaining valuable professional experience in event coordination and student engagement.

Job Requirements

  • enrolled in a minimum of 6 units at sacramento state
  • maintain a minimum 2.0 gpa overall (for student assistant incumbents)
  • experience on windows-based personal computers using microsoft word, excel, outlook, publisher, and powerpoint
  • available to work in the evening and some weekends
  • available to work up to 20 hours a week when classes are in session

Job Qualifications

  • enrolled in a minimum of 6 units at sacramento state
  • maintain a minimum 2.0 gpa overall (for student assistant incumbents)
  • experience on windows-based personal computers using microsoft word, excel, outlook, publisher, and powerpoint
  • available to work in the evening and some weekends
  • available to work up to 20 hours a week when classes are in session
  • one year of event planning experience (paid or voluntary)

Job Duties

  • assist in the planning and coordination of multiple events on behalf of student engagement and outreach, inclusive of securing event space, catering, vendors, materials, and all other necessities for a successful event, collaborate with the graphic designers, and communications and outreach coordinators to promote the event around campus, organize and facilitate planning meetings between a-team and other constituents as needed, serve on committees to plan and collaborate on-campus events such as the election planning group, alternative spring break, block party planning committee, assist in developing and coordinating new service events, asi student government events, and other events promoting asi and asi services, communicate with the marketing & outreach manager on work progress and challenges, maintain and organize program materials and supplies, attend mandatory department meetings, events and activities, staff the event
  • provide support with setup, takedown as needed, complete event planning and evaluations for each event, may be asked by manager to work over term break to prepare for the events in the following semester, other duties as assigned
