Job Description

(ASI) is an integral part of Sacramento State, responsible for representing student interests, organizing events, and promoting student well-being through various initiatives and outreach efforts. ASI plays a crucial role in enhancing student life by offering services that encourage participation in campus government and community projects, ultimately creating a more inclusive and dynamic campus environment.

The Event Coordinator position within the ASI Student Engagement and Outreach team is designed to support and assist the Marketing and Outreach Manager in planning and executing a wide range of events that promote ASI programs and services. This role is critical in connecting Sacramento State students with opportunities for involvement through community service, government-related activities, and campus events. The coordinator will work closely with the A-Team and various stakeholders to ensure successful event delivery, logistics management, and effective promotion.

As an Event Coordinator, you will be responsible for coordinating multiple events each semester, including ASI Week, Block Party, Thanksgiving Food Basket Donation Drive, Farmworker Awareness Week, ASI Student Government Elections, and Feel Good Friday events, among others. Your duties will encompass securing venues, organizing catering and vendors, preparing materials, and collaborating with graphic designers and communications teams to maximize event visibility. You will also facilitate planning meetings, participate in committees such as the Election Planning Group and Block Party Committee, and help develop new service-oriented events aligned with ASI’s mission.

This role requires strong organizational and communication skills, the ability to manage multiple tasks concurrently, and a collaborative mindset to work effectively with a diverse student body and campus departments. The Event Coordinator will also oversee event staffing, setup, and takedown, along with documenting and evaluating each event's success. Flexibility to work evenings and some weekends is necessary, with the potential to work up to 20 hours per week during the academic semester.

This position is ideal for individuals passionate about student engagement, event planning, and community service at a collegiate level. Employment type is part-time student assistant, requiring enrollment in a minimum of 6 units and maintaining a 2.0 GPA. Job Requirements

  • Available to work in the evening and some weekends
  • Available to work up to 20 hours a week when classes are in session

Job Qualifications

  • Enrolled in a minimum of 6 units at Sacramento State maintaining a minimum 2.0 GPA overall for Student Assistant incumbents
  • Experience on windows-based personal computers using Microsoft Word Excel Outlook Publisher and PowerPoint
  • One year of event planning experience paid or voluntary preferred

Job Duties

  • Assist in the planning and coordination of multiple events per semester on behalf of Student Engagement and Outreach including securing event space catering vendors and materials
  • Collaborate with graphic designers and communications and outreach coordinators to promote events around campus
  • Organize and facilitate planning meetings between A-Team and other constituents as needed
  • Serve on committees to plan and collaborate on-campus events such as Election Planning Group Alternative Spring Break Block Party Planning Committee
  • Assist in developing and coordinating new service events ASI Student Government events and other events promoting ASI and ASI services
  • Communicate with the Marketing and Outreach Manager on work progress and challenges
  • Maintain and organize program materials and supplies
  • Attend mandatory department meetings events and activities
  • Staff events providing support with setup takedown as needed
  • Complete event planning and evaluations for each event
  • Work over term break to prepare for the events in the following semester as requested
  • Perform other duties as assigned
