The Senior Workplace Events Specialist role at Zendesk is based in their San Francisco office and is a full-time, onsite position. This role plays a crucial part in strengthening Zendesk's company culture by designing and delivering employee events and connection programs that enhance engagement and create memorable experiences tailored to employees' needs. Approximately 75 percent of the role focuses on managing the planning and execution of these events, while the remaining 25 percent supports broader workplace operations including administrative assistance and coordination.
The ideal candidate will become a key member of the San Francisco Workplace team, responsible for overseeing the local logistics of all employee events—including vendor coordination, space setup, signage, staffing, and compliance with safety and security standards. Beyond local responsibilities, the Senior Workplace Events Specialist acts as a strategic partner to regional offices in the Americas and Latin America, providing guidance, templates, and best practices to help shape a consistent yet locally relevant global events vision. This role involves managing the full lifecycle of events from calendar planning and registrations to post-event debriefs and data-driven improvements, while also maintaining budgetary oversight and vendor relationships. Additional operational duties include supporting front desk coverage, managing the workplace ticketing queue, maintaining workplace documentation, and coordinating internal communications related to building events and maintenance.
Candidates should bring a minimum of four years' professional experience in events planning, workplace events, facilities coordination, or related fields, preferably with direct experience supporting employee programs. Strong project management skills, attention to detail, and the ability to balance multiple priorities are essential. Excellent communication skills are required to interact clearly and effectively with employees and leadership at all organizational levels. Familiarity with Google Workspace, workplace management platforms like Zendesk, Asana, and Gable, and practical knowledge of workplace systems such as access control and vendor relations are important for success. The role also demands a positive, service-oriented attitude capable of adapting quickly under pressure.
An additional key competency is AI literacy: candidates must be comfortable leveraging AI tools and automation to enhance event workflows, communication, personalization, and operational efficiencies while responsibly managing these technologies. The work schedule is Monday through Friday, 8:00 am to 5:00 pm, with occasional extended hours for events. The pay range for this position is $32.21 to $48.56 per hour, with potential eligibility for bonuses and benefits. Job Duties
- Lead end-to-end planning and execution of employee events and connection programs for the San Francisco office
- own local event logistics for San Francisco including vendor coordination, space setup, signage, staffing, on-site execution, and safety/security compliance
- serve as the planning partner for AMER and LATAM offices by helping develop event structure, guidance, templates, and best-practice playbooks
- support the Global Events Lead in shaping the global events vision, program frameworks, and scalable approaches
- manage the event lifecycle including calendar planning, registration, internal communications, pre-event briefs, post-event debriefs, and metrics-driven recommendations
- track event budgets and vendor invoices, maintain vendor relationships and procurement documentation, and assist with invoice reconciliation and budget stewardship
- provide general Workplace Team support including front desk coverage, ticket queue management, and maintaining workplace documents and communications related to building events, maintenance, and safety
