The Office of Conference Services (OCS) at Iona plays a vital role during the summer conference season by coordinating with external organizations to host a wide range of events and programs on campus. These include performances, conferences, athletic programs, film productions, social events, and both day and residential camps. OCS is responsible for thorough logistics planning, organizing facility set-ups, and coordinating with internal departments while maintaining exceptional customer service throughout their operations. The office ensures clear and effective communication between clients and campus partners, aiming to provide a seamless and satisfactory experience for all guests while protecting the university's interests.

The Senior Summer Conference Assistant (Senior SCA) position is a part-time, temporary role critical to supporting the mission of the Office of Conference Services during the busy summer period. The work schedule is flexible and varies based on campus and residence hall facility demands, which often increase during peak program times. This role involves limited supervisory responsibilities, assistance with special projects, and direct client interaction. The Senior SCA acts as a key liaison between OCS and clients, particularly during second-shift hours, including evenings and weekends. Preferred candidates are those who can reside on campus during the summer, ensuring availability to meet the dynamic needs of the various events hosted. The position includes duties ranging from administrative tasks to customer service, event coordination, facility inspections, and troubleshooting, requiring a proactive, dependable, and detail-oriented professional.

Because the summer conference season is fast-paced and requires adaptability, the Senior SCA must be able to multitask effectively, handle emergency situations calmly, and maintain a high level of professionalism while working independently or collaboratively as part of a team. This role is essential in ensuring that all conference services guests enjoy positive and well-organized experiences at Iona University, reflecting the institution’s high standards and values. The Senior SCA will also be involved in coordinating welcome bag programs, overseeing summer supplies and inventory, and supervising summer conference assistants during assigned shifts. This position requires excellent communication skills, strong computer proficiency including Microsoft Office, and the ability to maintain confidentiality when handling sensitive information. Overall, the Senior Summer Conference Assistant plays a critical role in supporting Iona University's commitment to hospitality, service excellence, and operational efficiency throughout the summer events season.

Job Requirements

  • expected to work a minimum of 25 hours per week
  • no visa sponsorship available

Job Duties

  • Understand, administer, and uphold OCS policies and procedures
  • complete administrative tasks including data operations, filing, copying, creating event-related documents and flyers, scanning, maintaining department logs and reports, and assisting with customer requests
  • maintain scheduled hours and assist with daily office operations
  • rotate on-call phone duty responsibilities including customer service and troubleshooting for overnight guests
  • oversee the upkeep, organization, and inventory of OCS summer supplies including the staging room and summer linen exchange program
  • act as second-shift liaison between OCS and clients including evening and weekend programs
  • greet incoming summer groups and assist with check-in and check-out, troubleshoot issues, and provide customer support
  • supervise SCA staff during afternoon, evening, and weekend shifts as needed
  • assist with coordinating the OCS welcome bag program for conference services guests
  • assist with facilities set-ups for conferences and programs
  • conduct site inspections in residence halls and campus buildings to ensure rooms and set-ups are completed as requested and spaces are clean and ready for guest arrivals
  • perform daily classroom and event space inspections
  • respond to client needs throughout events to assist with issue resolution
  • conduct room inspections and close out residence hall dorms after group departures
  • run errands and deliver event-related items on campus
  • perform additional duties as assigned including some light to medium lifting
