The Office of Conference Services (OCS) at Iona University plays a crucial role during the summer conference season by coordinating a variety of events and programs held on campus. These events range from performances, conferences, athletic programs, film productions, social events, to day and residential camps. OCS is tasked with planning logistics, overseeing set-ups, coordinating with internal departments, and providing exceptional customer service to ensure seamless communication between clients and campus partners. The office's main objective is to guarantee that all clients have a satisfactory experience at Iona while safeguarding the university's interests. The Senior Summer Conference Assistant (Senior SCA) position is a part-time, temporary role designed for the peak summer conference season. This role adapts its work schedule to the demand for campus and residence hall facilities and entails limited supervisory responsibilities, assistance with special projects, and direct client interaction. The Senior SCA may need to work evenings and weekends as required and participate in mandatory work schedules during busy periods.

Preferred candidates for this role will ideally reside on campus, helping facilitate immediate responsiveness and efficient support during peak times. Responsibilities include maintaining OCS policies and procedures, conducting site inspections, overseeing inventory, completing administrative tasks, rotating on-call phone duties, greeting and supporting summer groups, supervising staff during certain shifts, and assisting with the welcome bag program and facilities set-ups. The role demands excellent communication and critical thinking skills, a proactive attitude, the ability to work independently and collaboratively, and proficiency in Microsoft Office applications. Additionally, candidates must be available throughout the summer season from June 1 to August 15, 2026, attend mandatory training sessions, submit to a background check, and commit to working a minimum of 25 hours per week. This position does not offer visa sponsorship. Job Duties

  • Understand, administer, and uphold OCS policies and procedures
  • Complete administrative tasks including data operations, filing, copying, creating event-related documents and flyers, scanning, maintaining department logs and reports, and assisting with customer requests
  • Maintain scheduled hours and assist with daily office operations
  • Rotate on-call phone duty responsibilities, including customer service and troubleshooting for overnight guests
  • Oversee the upkeep, organization, and inventory of OCS summer supplies, including the staging room and summer linen exchange program
  • Serve as second-shift liaison between OCS and clients, including evening and weekend programs
  • Greet incoming summer groups and assist with check-in and check-out, troubleshoot issues, and provide customer support
  • Supervise SCA staff during afternoon, evening, and weekend shifts as needed
  • Assist with coordinating the OCS welcome bag program for conference services guests
  • Assist with facilities set-ups for conferences and programs
  • Conduct site inspections in residence halls and campus buildings to ensure rooms and set-ups are completed as requested and spaces are clean and ready for guest arrivals
  • Perform daily classroom and event space inspections
  • Respond to client needs throughout events to assist with issue resolution
  • Conduct room inspections and close out residence hall dorms after group departures
  • Run errands and deliver event-related items on campus
  • Perform additional duties as assigned, including some light to medium lifting
