VAI is currently seeking a Senior Shipping and Receiving Specialist, also known as Logistics Coordinator II, to join their operational team. This experienced logistics professional will play a critical role in managing inbound and outbound shipping transactions, ensuring full compliance with domestic and international transportation regulations including import/export controls and hazardous materials handling. The position demands a strong foundation in inventory management, regulatory compliance, tracking, and coordination with internal departments and external partners. The specialist will operate with a high degree of independence, providing expert logistical support to research labs, collaborators, and various departments within the institute. Responsibilities include preparing and documenting shipments, monitoring shipment statuses, troubleshooting issues with carriers, managing inventory data through ERP systems such as Workday, performing physical inventories, and maintaining up-to-date knowledge on relevant regulations.

Job Requirements
- Associate degree in supply chain/logistics/business/international trade or related
- Minimum 3 years of directly related logistics experience with domestic and international shipping exposure
- Working knowledge of import/export and (as applicable) dangerous goods requirements
- Ability to independently execute and troubleshoot shipments
- Experience using enterprise resource planning (ERP) systems (Workday preferred), Microsoft Office, and web-based shipping solutions
- Strong attention to detail, organizational skills, and ability to manage multiple priorities
- Ability to lift, reach, carry, and transport packages and supplies using appropriate material handling equipment
Job Qualifications

Job Duties
- Ensure inbound and outbound shipping transactions comply with all applicable transportation, import/export, and dangerous goods regulations
- Prepare, ship, and document domestic and international shipments to collaborators, vendors, and partners
- Actively monitor shipment status, forecast potential issues, and triage delayed or disrupted shipments with carriers and couriers
- Record purchase, receipt, transfer, and inventory data using inventory management software and enterprise resource planning (ERP) systems, Workday
- Perform routine physical inventories, reconcile variances, and report results
- Develop and maintain working knowledge of current regulations related to shipping, imports, exports, and hazardous materials
- Perform administrative and operational support tasks, including prioritizing projects and supporting departmental initiatives
- Provide customer-focused support to labs, departments, and collaborators, communicating clearly and professionally
