Job Description

The Corporate Secretariat (SEC), operating under the Corporate Secretariat Vice Presidency, plays a pivotal role in maintaining the integrity of the bank's multilateral governance. It oversees shareholder relations, membership management, and facilitates the responsibilities of the Bank's Board of Governors and Board of Directors. The Secretariat ensures compliance with governance rules and procedures and safeguards privileges and immunities as per the Articles of Agreement.

The role of Senior Secretariat Officer (Events), Shareholder Relations, is a key leadership position within the Corporate Secretariat. This role is primarily responsible for planning, coordinating, and delivering the bank’s major governance-related events including the high-profile annual meeting of the Board of Governors and other related engagements. The officer will also support flagship member and client engagement events and core corporate events such as the Bank's New Year Reception. This position demands expert management skills in organizing large-scale, high-level multilateral events involving a diverse and distinguished group of participants globally.

The Senior Secretariat Officer will lead and manage the end-to-end delivery of the annual meeting and other Board of Governors’ events, ensuring seamless coordination and strategic oversight. This includes managing business plans, work progress, and staff recruitment, while fostering a collaborative team environment through mentorship, guidance, and performance evaluations. The officer is expected to provide strategic advice on planning venues for future annual meetings, including reviewing and selecting prospective hosts from member offers.

The responsibilities also encompass overseeing the official program of the Board of Governors, which comprises the opening ceremony, official sessions, business roundtables, and the public program of seminars, business fairs, and networking activities conducted in partnership with the host government and internal Bank departments. Furthermore, the officer will coordinate logistic, technical, and security arrangements, ensuring sustainability considerations are integrated throughout event planning and execution.

A critical aspect of this role is leading the organization and supervision of lead-up events, involving close collaboration with host governments, Bank members, and departments. The officer will also manage human capital programs supporting the annual meeting, coordinating individual consultants, government secondees, volunteers, interns, and internal volunteers. Beyond the annual meeting, the Senior Secretariat Officer will oversee the planning and execution of the Bank’s annual New Year Reception and member engagement activities, maintaining effective budget management, procurement processes, and vendor payments.

The ideal candidate will have a minimum of 10 to 12 years of specialized experience managing large-scale, high-level events in an international or diplomatic setting. Possessing an advanced degree in events management, communications, business administration, or related fields, the candidate must display exceptional strategic planning, logistical coordination, and team management skills. The individual should excel in cross-cultural communication, diplomacy, creativity, independent thinking, multitasking, deadline adherence, and demonstrate excellent oral and written communication skills in English.

Job Requirements

Job Duties

  • Manage the delivery of the annual meeting and other Board of Governors' related engagement and events, and support flagship member and client engagement events and core corporate events
  • Manage business plan, work progress, and team building, providing mentorship, guidance, and performance review of team members, and recruitment and management of staff, assistants, and individual consultants based on business needs and annual plan
  • Provide strategic advice on planning of hosts of future annual meetings, including oversight of procedures for reviewing, assessing, and selection of members' offers to host the annual meetings
