This Senior Receptionist & Switchboard position is an essential role within the company, responsible for providing exceptional service to both visitors and internal teams. The candidate will greet all visitors warmly, assist with their needs, and manage the flow of incoming calls from all over the United States. This role is not only about traditional reception duties but also entails managing administrative tasks, updating company phone lists and speed dial information, scheduling meeting rooms, issuing facility access cards and loaner cell phones, and supporting various departments whenever needed. The successful candidate will be a model ambassador of the company’s vision, values, and mission, building professional relationships with customers and coworkers alike.

In addition to switchboard management, this position requires participation in company and community service events, acting as a proactive team member who supports the administrative function. Familiarity with MS Office Suite, particularly Word and Excel, is necessary, and candidates must demonstrate excellent organizational skills, communication abilities, and strong customer service capabilities. The role demands effective multitasking while maintaining attention to detail in a fast-paced environment. Physically, it involves mostly sedentary work with occasional walking, standing, bending, reaching, and carrying objects up to 50 pounds. The workplace environment is an office setting with adequate lighting, ventilation, and typical noise levels. This position typically demands an energetic and enthusiastic personality willing to engage in various tasks beyond the usual reception and switchboard responsibilities, contributing effectively to the company’s overall smooth operation and customer experience.

Job Requirements

  • Requires high school diploma or equivalent
  • 2 plus years of prior switchboard experience
  • MS Office Suite experience, specifically Word and Excel

Job Duties

  • Greets the public
  • distributes name badges to visitors, temporary employees, etc.
  • issues facility access cards to employees
  • schedules meeting rooms for all
  • answers and transfers calls from all over the United States
  • participates enthusiastically in company and community service events
  • performs light administrative duties
  • performs PC support and administrative duties as needed
  • acts as a model for vision, values, and mission
  • builds professional relationships with customers and other teams
  • responsible for the timely updates of company phone and speed dial lists
  • responsible for issuing of the company loaner cell phones
  • assists administration or any other team when needed for various tasks (envelope labels, compiling manuals, etc.)
