The Administrative Lead at ProHealth Physicians plays a pivotal role in ensuring the operational excellence of the practice. Reporting directly to the Practice Manager, this role is responsible for coordinating staffing and handling daily operational workflows within the medical office. The position requires strong collaboration with practice leadership and clinicians to optimize operational efficiency, maximize clinician productivity, and enhance patient satisfaction. The Administrative Lead is instrumental in managing front office staff, overseeing patient interactions such as scheduling, payments, and check-ins, and maintaining accurate demographic data. The role involves oversight of critical administrative processes including managing the daily appointment schedule and PCI compliance. Additionally, the Administrative Lead contributes to resolving patient complaints, supports hiring and training of new staff, and participates actively in organizational initiatives and workflow improvements.

Job Requirements
- 1+ years of experience in a medical setting with demonstrated leadership competency
- 1+ years of customer service experience
- intermediate level of computer proficiency in Microsoft Office
- access to reliable transportation and valid US driver's license

- experience working in a primary care setting
- experience working with Epic
Job Duties
- support the care team and patients by greeting and checking in patients, scheduling appointments, answering in person and telephonic inquiries, collecting payments and maintaining demographic information
- oversee and support administrative staff in front office processes
- work collaboratively with the Practice Manager to manage staff schedules and coverage
- conduct or participate in scheduled practice meetings and daily briefs
- oversee critical processes such as active daily schedule management and PCI compliance
- assist in the handling of patient complaints
- participate with Practice Manager in new staff selection and hiring and on-boarding of new Medical Receptionists
- conduct on-site new staff administrative training
- participate in organizational initiatives and projects including workflow improvement initiatives
- provide coverage at other ProHealth locations on an ad hoc basis
- perform other duties as assigned
