The Internal Meetings and Events Senior Associate role at Forvis Mazars, LLP is a pivotal position responsible for managing a wide range of meetings and training events essential to the firm's operational and strategic objectives. This position involves end-to-end coordination of internal events, requiring an individual with a minimum of 8 years of experience in corporate meeting and event planning. The Senior Associate works closely with event owners to thoroughly understand event objectives and requirements, ensuring that every event delivers exceptional value and aligns with organizational goals. Key responsibilities include managing event budgets, negotiating with suppliers and service providers, and overseeing all logistical aspects such as venue setup, production, transportation, accommodations, catering, entertainment, and registration processes. The role also encompasses the development and maintenance of event-related technology platforms, including registration systems, websites, and conference apps, in partnership with the Event Technologist on the team. Moreover, the Senior Associate collaborates with other planners to share best practices and support larger firm-wide programs.
An important aspect of the role is managing the firm’s corporate travel program, which demands expertise in vendor relationships, Concur system reporting, and travel support through various tools and communication channels. The Senior Associate is tasked with building and maintaining strong internal and external partnerships, reviewing and processing event invoices for accuracy, and training new team members to uphold high standards of event execution. Due to the nature of the work, the position requires flexibility for onsite event execution, with travel expected approximately 20% of the time, sometimes for extended periods.

Job Duties
- Collaborate with event owners to understand the objectives and requirements of each event
- Develop and manage meeting event budgets, including invoice reconciliation and budget tracking
- Source and negotiate contracts with suppliers and service providers
- Build and maintain event registration and conference websites, communications, and conference apps in partnership with the Event Technologist
- Plan all logistical aspects of meetings and events including setup requirements, production, ground transportation, hotel accommodations, food and beverage, entertainment, offsite events, evening activities, and registration components
- Collaborate with other planners on best practices and support planning and execution of the firm's larger programs
- Manage corporate travel program vendor relationships, Concur system reporting, and travel support through various tools
- Develop and maintain relationships with key stakeholders, internal and external vendors, and industry professionals
- Review and process event invoices for accuracy
- Train new team members
- Lead more complex meetings and events
- Provide onsite execution of meetings when necessary with travel required (approximately 20%)
