The Senior Meeting Planner role at EDJ Associates is a dynamic and crucial position responsible for the end-to-end management of multiple concurrent events. This role demands a highly organized and detail-oriented professional who can efficiently oversee contract deliverables such as budget creation, financial tracking, status reporting, and vendor coordination. Serving as the primary bridge between clients, vendors, and project teams, the Senior Meeting Planner ensures that all event logistics—from audiovisual setup to catering services—are flawlessly executed within budget and timeline constraints.

Located onsite in Washington, DC, this full-time position allows for some travel, up to 25% outside the tri-state metropolitan area, offering opportunities to work on various high-profile events both virtually and in person. A key part of the role involves providing onsite support, maintaining event databases, and managing multiple operating budgets. The Senior Meeting Planner must be adept at employing technology platforms such as Microsoft Office 365, Zoom, Microsoft Teams, SharePoint, and Cvent to aid in efficient meetings and seamless communication.

Candidates for this role need a minimum of six years of professional meeting planning experience, with a preference for those holding Certified Meeting Professional (CMP) or Certified Government Meeting Professional (CGMP) certifications. The ideal professional will demonstrate exceptional interpersonal, organizational, and multitasking skills, coupled with the ability to adapt flexibly to evolving project requirements. Physical capabilities to manage event setup and breakdown activities, including lifting up to 50 pounds and standing or walking for extended periods, are important for onsite event support.

Job Duties

  • Provides full-cycle management and support for virtual and in-person meetings of various sizes and complexity
  • manage vendor requirements including audio visual and catering
  • develops and manages overall conference budget relative to event costs to ensure meetings are completed within budget parameters
  • manages financial review and reconciliation
  • develops, maintains and shares team management plan for pre-onsite and post-planning activities
  • interfaces with client and project team members to produce quality materials and complete timely project/conference-related deliverables within client requirements
  • manages multiple operating budgets for meeting projects and meeting preparation
  • travels up to 25% of the time outside of the tri-state metropolitan area
  • provides onsite meeting support
  • provides virtual meeting support
  • maintenance of event databases
  • performs other duties and responsibilities as assigned
