The Meeting Coordinator position at NSF represents a senior-level support role within the TIP directorate, providing essential leadership to the meeting planning team. These gatherings range in size from intimate meetings of 10 attendees to large-scale conferences accommodating up to 600 participants. The Meeting Coordinator oversees comprehensive administrative and logistical aspects that enable the successful delivery of contract requirements related to these meetings.

By managing interactions with vendors, the Meeting Coordinator ensures timely and cost-effective procurement of services needed for event execution. Responsibilities also include setting up meeting spaces to meet specific configurations and requirements, ensuring adequate technological and material support is in place. Developing and formatting meeting materials is another key duty, helping facilitate clear communication and effective participant engagement.

The role demands proactive communication management, including issuing registration reminders and responding promptly to participant inquiries to maintain high levels of satisfaction and smooth coordination. Additionally, the Meeting Coordinator liaises effectively with speakers and exhibitors, facilitating their involvement and logistical needs to enhance the overall quality of the events.

Travel arrangements and participant reimbursements are carefully coordinated, reflecting the Meeting Coordinator's integral contribution to operational efficiency and participant experience. This position requires a candidate who is a U.S. citizen and capable of passing a comprehensive background check.
