The Senior Meeting & Events Planner plays a crucial role within the organization, leading the successful execution of medium to large-scale corporate events and conferences. This position requires an individual with exceptional project management skills, attention to detail, and the ability to communicate effectively with clients, internal teams, and vendors. The Senior Planner acts as the primary liaison between clients and the meeting and events operations team to ensure all event details are thoroughly understood and executed flawlessly.
In this role, the Senior Meeting & Events Planner manages everything from site selection, budget planning, vendor negotiations, to on-site coordination. They develop and maintain the master events calendar, guide clients throughout the entire event planning lifecycle, organize and lead planning meetings, and proactively coordinate logistics to prevent potential issues. They also ensure compliance with building safety and security requirements while overseeing food and beverage arrangements to align with client expectations.
The position involves a strong leadership component, as the Senior Planner mentors junior team members and supports continuous process improvements by capturing post-event reports and suggesting more efficient practices. Responsible for managing budgets, reviewing invoices, and ensuring cost control, the role is essential to delivering seamless and memorable event experiences that uphold the company’s high standards.

Job Requirements
- Bachelor’s degree or equivalent experience
- Minimum 5 years of experience in event planning, preferably within the corporate or technology sector
- Strong interpersonal and communication skills
- Excellent organizational skills with attention to detail
- Ability to work under pressure and meet deadlines
- Proficient in event management software and Microsoft Office suite
- Willingness to travel as needed
Job Qualifications
- Bachelor’s degree or equivalent experience in event management or related field
- Proven experience in planning and executing corporate events and conferences
- Strong project management and organizational skills
- Excellent communication and negotiation abilities
- Ability to manage multiple events simultaneously under tight deadlines
- Familiarity with budget management and vendor contract negotiation
- Knowledge of building safety, security regulations, and food and beverage service requirements
Job Duties
- Directs advanced primary calendar for medium to large-scale gatherings and functions space
- Responsible for all communications, planning meetings with event staff, and proactively planning logistics across the master calendar
- Handles each event as a project from planning through execution, including crafting and leading detailed event planning timelines and ensuring deadlines are met
- Participates and/or leads planning calls, representing the site and ensuring compliance with building safety and security regulations
- Coordinates with internal partners and outside vendors to manage client expectations
- Responsible for food and beverage management including menu planning, in collaboration with clients
- Acts as key contact for events to ensure seamless delivery by the Meeting & Events operations team
- Captures post-event reporting and recommends improvements
- Supports and mentors junior team members
- Assists with budget creation and manages adherence, including invoicing activities
