The Senior Meeting and Events Planner role at CBRE is a pivotal position in the technology events domain where you will be the primary point of contact for clients organizing medium to large-scale corporate programs and conferences. This role demands a dynamic individual who can design and execute impactful events that involve everything from venue sourcing and budget preparation to on-site logistics and vendor negotiations. As a Senior Planner, you will manage the full spectrum of the event planning lifecycle, coordinating with internal teams and external vendors to ensure seamless and engaging experiences for attendees. You will handle the master events calendar, confirm event requirements, and maintain clear communication channels to guarantee all stakeholders fully understand the necessary arrangements. This role also carries responsibility for food and beverage planning, budget adherence, and post-event analysis to identify process improvements and cost efficiencies. Moreover, you will have the opportunity to mentor junior team members, thereby contributing to the development of a skilled events planning team. The position requires hands-on management from the initial planning stages through the execution and closing stages of events, ensuring all activities meet or exceed quality and safety standards. Candidates for this role need to be organized, analytical, and capable of working within multiple software platforms including Microsoft Office Suite and various technical event management software. Flexibility in scheduling to accommodate business needs is essential. Job Requirements

  • High school diploma or GED
  • minimum 7 years of relevant experience and/or training
  • experience in corporate or conference center management preferred
  • strong communication skills
  • ability to engage with clients and vendors effectively
  • proficiency in Microsoft Office Suite

  • good organizational and problem-solving skills

Job Duties

  • Directs advanced primary calendar for medium to large-scale gatherings and functions space
  • responsible for all communications, planning meetings with event staff, and proactively planning logistics across the master calendar
  • handles each event as a project from planning through execution, to include crafting and leading detailed event planning timelines, ensuring deadlines are met on time and with high quality
  • participates and/or leads planning calls, representing the site and ensuring all event aspects are in accordance with building safety and security regulations
  • coordinates with internal partners as well as with outside vendors and event professionals to manage client expectations
  • responsible for food and beverage management including menu planning, collaborating with the client
  • key contact for the event in ensuring seamless event delivery by the Meeting and Events operations team
  • captures post-event reporting and reconciliation and suggests recommendations for continuous improvement and cost/process efficiencies
  • supports and provides informal mentorship to junior members of the team
  • may support with budget creation for events and accountable for budget adherence and related activities such as requesting and reviewing invoices in a timely manner
