The Senior Meeting & Events Coordinator role is an integral part of CBRE’s Workplace Experience function, focusing on delivering world-class customer service to clients and visitors within designated buildings. This position involves assisting with the coordination and execution of small to medium-sized meetings, conferences, and events, ensuring seamless planning and smooth operation. A key aspect of this role includes being the secondary point of contact for these events, coordinating logistics that span transportation, signage, special needs accommodations, event security, and much more with clients, vendors, and team members.
This role requires excellent organizational skills and the ability to create a hospitable environment for attendees and event owners on the day of each event. Additional responsibilities involve managing room configurations, event supplies, technical troubleshooting, and post-event reporting. The Senior Meeting & Events Coordinator also supports facilities management by overseeing work order tracking, conducting inspections, ensuring compliance with safety regulations, handling emergency repairs, and participating in projects such as desk moves and small facility tasks.
The role demands physical stamina, given its requirements to stoop, stand, walk, climb stairs, and lift heavy loads up to 50 pounds. Candidates with up to two years of related experience and a high school diploma or GED are encouraged to apply. Job Duties
- Secondary point of contact for smaller meetings and events
- Provide support for larger and more complex meetings and events as needed
- Work with clients, vendors, and team members to coordinate guest services including arrival experience, transportation, signage, displays, special needs requirements, printing, and event security
- Create a hospitable environment for attendees, event owners, and vendors on the day of the event
- Assist with conference room turnover and midday room refresh
- Reconfigure rooms for evening indoor and outdoor spaces
- Respond to event activities such as gathering event supplies, equipment needs, food and beverage services, facility security
- Conduct room setup, refresh, and removal of food, beverage, and service items
- Complete room checks and ensure technical and visual spaces are functional, troubleshoot audio and technical issues
- Manage a small inventory of event supplies
- Coordinate master meeting and events calendar for small to medium-sized event spaces
- Communicate events schedule with team and service providers
- Assist with post-event reporting and reconciliation
- Escalate potential issues and concerns as appropriate
- Review assigned work orders and partner with available teams to track completion
- Manage work orders via CMMS system documenting labor hours, assets, and on-time completion
- Inspect installations for compliance with building codes and safety regulations
- Conduct routine maintenance inspections, troubleshoot potential issues, and make repairs
- Respond promptly to emergency situations and customer requests
- Conduct quality assurance checks and oversee materials inventory
- Coordinate daily workload, emergency repairs, and quality assurance checks
- Document and report activities to supervisors
- Work alongside Space and Occupancy team to schedule and perform desk moves
- May work on small projects and other duties as assigned
- Follow defined procedures and processes under close supervision and guidance
