The Senior Manager, Meetings and Events at APA holds a critical leadership role overseeing the comprehensive logistics and operational management of the Association’s Annual Meeting and the APA Wellness Conference. This full-time professional position entails managing complex event logistics involving multiple stakeholders, vendors, and internal teams to ensure seamless execution of APA’s key meetings and conferences. The Senior Manager’s responsibilities include coordinating staff housing, vendor services, transportation, and special group accommodations during the Annual Meeting, as well as managing logistical arrangements for allied group meetings and the Wellness Conference. By directly supervising temporary event personnel and serving as the main liaison between APA staff, hotels, vendors, and members, the role ensures all on-site and off-site event components align with organizational standards and exceed attendee expectations.
Key aspects of this position involve developing Requests for Proposals (RFPs), conducting site visits, negotiating contracts with hotels and service providers, and establishing efficient housing and transportation procedures. The Senior Manager ensures proper coordination of event details such as menu selections, audio-visual requirements, room setups, billing reconciliation, and maintaining accurate records of historical housing and financial data. By monitoring service quality and resolving logistical challenges, this role directly contributes to the overall success and smooth delivery of APA’s major events. Job Requirements
- Bachelor’s degree in hospitality or related field
- Minimum seven years of meetings and event management experience or equivalent
- Two years supervisory experience
- Strong organizational and time management skills
- Excellent communication and interpersonal skills
- Proficiency with MS Word, Excel, and Outlook
- Experience in contract negotiation
- Hands-on meeting and event logistics experience
Job Qualifications
- Bachelor’s degree in hospitality or related field
- Minimum seven years of experience in meetings and event management or equivalent combination
- Certified Meeting Planner (CMP) certification preferred
- At least two years of supervisory experience
- Strong organizational and time management skills
- Excellent oral and written communication abilities
- High interpersonal skills for effective interaction with diverse groups
- Proficiency in MS Word, Excel, and Outlook
- Experience in hotel and vendor contract negotiation
- Hands-on experience with meeting preparation, audiovisual equipment, registration, and onsite logistics
Job Duties
- Manage the housing company
- Develop RFPs and conduct site visits
- Establish housing procedures for VIPs, staff, special group housing, vendors, and general membership
- Coordinate APA staff, vendor, special group and attendee housing
- Prepare and disseminate credit applications for master billing
- Monitor customer service for housing, including responsiveness and cancellation procedures
- Track and reconcile hotel invoices for staff housing
- Develop and negotiate transportation services contracts and billing
- Manage logistics for APA Component Meeting activities and Allied Group Meetings
- Produce necessary meeting guides, manage onsite staff office, and act as liaison resolving conflicts
- Approve event orders including AV, menu selections, and room setups
- Manage billing for hotels, venues, and vendors
- Maintain specification book databases
- Organize President’s and Publishing Receptions logistics
- Handle pop-up meetings and transient housing reservations
- Issue detailed RFPs for contracts
- Attend industry events to build vendor relationships
- Supervise temporary personnel during events
- Participate in professional development and implement new strategies
