This position, Senior Manager, Event Logistics and Operations, is based at the Wilf Campus in New York City and is a full-time staff opportunity within the Communications and Public Affairs department. The role is centered around the meticulous planning, coordination, and execution of all logistical aspects for major institutional events and ceremonies. The Senior Manager will play a crucial role in organizing large-scale events that represent the university’s commitment to excellence and tradition. The salary range for this role is $74,000 - $82,000, reflecting the importance of experience and skills required.
In this role, the Senior Manager will lead and oversee event logistics including vendor management, event production, and the creation of detailed floorplans and seating arrangements. Managing contracts, timelines, and on-site event operations are key responsibilities for ensuring the smooth and successful release of high-profile university events. Close collaboration with internal stakeholders and external vendors will be essential in translating complex event requirements into comprehensive operational plans that guarantee seamless execution.
The Senior Manager will also be responsible for coordinating logistical elements of significant events such as graduate school commencements, ensuring graduate and faculty needs, guest accommodations, and academic attire coordination are handled flawlessly. Event day leadership and operational problem-solving are critical to handling challenges and delivering a memorable experience for attendees.

Job Requirements
- Bachelor's degree or equivalent combination of education and experience
- Five to eight years of experience in event management, event operations, hospitality, or a related field
- Experience planning and executing large-scale events
- Demonstrated vendor management and contract administration experience
- Strong project management, organizational, and problem-solving skills
- Ability to manage multiple priorities in a fast-paced environment
- Strong written and verbal communication skills

Job Duties
- Lead logistics planning and execution for major institutional events and ceremonies
- Develop and manage event workback schedules, production timelines, and operational plans
- Coordinate all event vendors including audiovisual, catering, rentals, staging, décor, transportation, and related service providers
- Manage vendor contracts, proposals, purchasing processes, and related documentation
- Create and oversee event floorplans, layouts, room configurations, and seating plans
- Coordinate event setup, load-in, event-day operations, and load-out activities
- Manage grad school commencement logistics including graduate processes, faculty needs, guest accommodations, and academic attire coordination
- Conduct site visits and logistics reviews to ensure operational readiness
- Collaborate with campus partners, vendors, and event stakeholders to support successful program execution
- Identify and resolve operational challenges while ensuring adherence to timelines and institutional standards
- Support budget management through vendor oversight and effective resource coordination
- Provide on-site leadership and troubleshooting during events
