Job Description

The Office of the President is seeking a part-time Senior Events Planning Associate to take a key role in managing and coordinating high-profile events at the Gray House. This position is designed for a detail-oriented and highly organized individual who thrives in a dynamic, fast-paced environment. Operating at a 50 percent employment capacity, the Senior Events Planning Associate will collaborate closely with the President's Office, the President's Spouse, the Gray House Manager, and various internal and external stakeholders to orchestrate VIP and high-profile events and social activities. The Gray House serves as the official residence and event venue, hosting an array of important diplomatic, cultural, and social functions. As such, this role is central to upholding the prestige and smooth operation of these events, ensuring every detail aligns with the high standards expected at the Gray House.

This role involves extensive coordination with caterers, audio/visual teams, vendors, and service providers to plan and execute seamless events. The Senior Events Planning Associate will be responsible for requesting proposals from the Executive Chef and catering vendors, organizing menus, and managing all event specifics including staffing and logistical needs. Additionally, the role requires managing special event requirements such as room setup and teardown, musical entertainment, floral arrangements, and rentals like linens and glassware. The ability to prepare guest lists, design and send electronic invitations, and ensure seating arrangements and placards are perfectly executed is vital to the success of each event.

Beyond the event day activities, this position includes critical follow-up tasks such as conducting post-event debriefs to capture insights and areas for improvement, reviewing expenses, and processing payments efficiently. Inputting and managing event data within an event database to support financial reporting and analysis also forms part of the role's responsibilities. Additionally, the Senior Events Planning Associate serves as a backup to the Gray House Manager, providing support in the overall operations and ensuring uninterrupted event execution.

Success in this role requires exceptional judgment, discretion, and confidentiality when handling sensitive information, especially given the high-profile nature of the events and guests involved. Flexibility to work nights and weekends is necessary to meet the demands of event schedules. Furthermore, the ability to think creatively and manage multiple priorities under pressure is crucial. Strong communication skills, both verbal and written, are essential for effective collaboration and clear coordination with multiple stakeholders.

Job Duties

  • Coordinate administrative functions related to VIP and high-profile events
  • Plan, organize, and execute events and social activities at Gray House
  • Request proposals from Executive Chef and caterers
  • Work with catering representatives on menu planning, event details, and staffing needs
  • Schedule special event requirements such as room setup and teardown, musicians, flowers, and rentals
  • Prepare guest lists and design and produce electronic invitations
  • Ensure seating charts are approved and create nametags, place cards, and menu cards
  • Conduct pre-event house checks and post-event debriefs
  • Review expenses and process payments
  • Input information into event database and generate data for financial reporting
  • Serve as a backup to the Gray House Manager for overall operations
