The Office of the President is a distinguished establishment known for managing high-profile events and social activities that uphold the prestige and tradition of the organization it serves. As an entity responsible for the planning and coordination of official functions primarily hosted at the Gray House, this office plays a crucial role in facilitating seamless and elegant events that reflect the dignity and standards expected at the highest levels of administration. The Senior Events Planning Associate position is a part-time role with a 50 percent workload dedicated to meticulously coordinating the administrative functions related to VIP and high-profile events at the Gray House. This role demands a highly organized individual who can plan, organize, and execute events with precision and discretion, working in close collaboration with the President's Office, the President's Spouse, Gray House Manager, various departments, caterers, audio-visual teams, and external vendors. The primary responsibilities include managing the myriad details involved in event planning from the initial proposal request from the Executive Chef and catering services to menu planning, staffing coordination, and special orders like room setups, musician bookings, floral arrangements, and rental equipment.
This position requires the Senior Events Planning Associate to prepare and manage guest lists, design and produce digital invitations, ensure seating arrangements are approved, and create name tags, place cards, and menu cards to maintain the elegance and flow of the event. They also conduct pre-event inspections and post-event debriefings to ensure continuous improvement in event execution. Financial oversight is also an integral aspect of the role, involving expense review, payment processing, and data entry into the event database to aid financial reporting and analysis.
Importantly, the Senior Events Planning Associate serves as a back-up to the Gray House Manager, stepping in to oversee the overall operations in their absence, highlighting the level of trust and responsibility inherent in this position. The successful candidate will demonstrate exceptional organizational skills, attention to detail, and the ability to keep complex projects on schedule while maintaining confidentiality and handling sensitive information with discretion.
This part-time role requires flexibility in working hours, including availability for nights and weekends, as the nature of events demands attention beyond the typical workweek. Excellent communication skills, both verbal and written, as well as interpersonal skills, are essential for coordinating with multiple stakeholders and ensuring every event meets the highest standards. Job Duties
- coordinate administrative functions of Gray House related to VIP and high-profile events and event planning
- plan, organize, and execute events and social activities at Gray House working with the President’s Office, President’s Spouse, Gray House Manager, other departments, caterers, A/V, and outside vendors
- request proposals from Executive Chef and caterers
- work with catering representatives on menu planning, event details, and staffing needs
- schedule special requirements and orders such as room set-up/take-down, musicians, flowers, and rentals (linens, glassware, equipment)
- prepare guest lists and design and produce electronic invitations
- ensure seating charts are approved and create nametags, place cards, and menu cards
- conduct pre-event house check and post-event debrief and note lessons learned
- review expenses and process payments
- input necessary information into event database and generate data for financial reporting and analysis of events
- serve as back-up to the Gray House Manager for overall operations of Gray House
