Job Description

Vast is an innovative company dedicated to advancing humanity's presence in space by developing artificial gravity space stations. These space habitats aim to mitigate the adverse health effects associated with prolonged exposure to zero-gravity environments, allowing people to live and thrive comfortably in space for extended periods. As part of this ambitious mission, Vast is preparing to launch Haven-1, the world’s first commercial space station, into low Earth orbit in May 2026. Within this groundbreaking company, the Senior Manager of Events role is pivotal to supporting Vast’s mission through strategic event planning, meticulous logistics management, and hands-on execution of event marketing initiatives. Reporting to the Director of Marketing Operations and based at Vast’s Long Beach location, this full-time exempt position entails managing a robust portfolio of events, including three major industry trade shows annually, alongside bespoke onsite and offsite events tailored to engage partners, stakeholders, and the broader public with Vast's innovative vision. The Senior Manager of Events takes ownership of the entire event lifecycle—from planning and vendor coordination to onsite logistics and post-event evaluation—ensuring each event reflects Vast’s brand and mission accurately.

This role requires exceptional project management skills, involving budget oversight, schedule adherence, and seamless coordination across multiple internal departments such as marketing, business development, facilities, and executive leadership. The Senior Manager will also collaborate closely with external suppliers like exhibit builders, A/V teams, carpenters, and other technical specialists to guarantee flawless execution of tradeshow booths and event setups. Real-time problem-solving during live events is essential for ensuring operations run smoothly, making this position as much about strategic foresight as agile responsiveness.

In addition to event logistics, the role supports creative brand alignment by overseeing that all event-related materials and messaging align with Vast’s storytelling objectives, thereby enhancing the company’s public perception and outreach efforts. The Senior Manager of Events is also responsible for regulatory compliance and safety standards during event construction and operations, maintaining a secure and legally compliant environment at all venues. Reporting on event effectiveness and providing insights to optimize future initiatives form an integral part of this comprehensive role.

The ideal candidate will bring over seven years of experience in event management, particularly with large-scale trade shows, corporate events, and experiential activations. Strong knowledge of event production and fabrication processes is critical, as is proven ability to manage complex projects involving diverse vendors and stakeholders. Proficiency in project management tools, the ability to manage contracts and budgets, and excellent communication skills are essential. Preferred qualifications include a bachelor’s degree related to event management, marketing, construction, or logistics and familiarity with aerospace, tech, or startup environments. Proficiency in tools like AirTable, Google Workspace, and CAD software strongly supports success in this role.

Job Qualifications

  • Seven plus years of experience in event management with a focus on trade shows corporate events and experiential activations
  • Proven ability to manage large scale complex projects with multiple stakeholders vendors and moving parts
  • Strong understanding of event production and fabrication processes including working directly with builders A/V teams and technical crews
  • Exceptional organizational and project management skills with proficiency in spreadsheets and project management tools
  • Experience managing budgets contracts and timelines with a track record of delivering high quality events on time and within scope
  • Excellent communication and interpersonal skills with ability to collaborate across departments and represent the company professionally onsite
  • Bachelor’s degree or relevant experience in event management marketing construction or logistics
  • Familiarity with aerospace tech or startup environments
  • Proficiency in AirTable or equivalent project management tools Google Workspace and CAD software
  • Experience working on large scale or high profile events
  • Strong problem solving skills and adaptability to fast paced environments

Job Duties

  • Lead end-to-end planning and execution of all event-based marketing initiatives including three major industry trade shows annually and bespoke onsite and offsite events
  • Boots on the ground event execution managing real-time logistics troubleshooting and staff vendor coordination
  • Act as project manager for each event owning timelines budgets deliverables and cross-functional coordination including travel logistics
  • Manage and liaise with external tradespeople including exhibit builders carpenters A/V teams and lighting designers to ensure flawless booth construction and activation
  • Collaborate with internal stakeholders across marketing business development facilities and executive leadership to align event strategies
  • Own and maintain detailed documentation including production schedules layouts booth designs and post-event debriefs
  • Assist with vendor selection and management including RFPs contract negotiation and performance evaluation
  • Ensure compliance with safety legal and regulatory requirements related to onsite construction and event operations
  • Support creative and brand alignment ensuring all event assets and messaging reflect brand standards and storytelling objectives
  • Measure and report on event performance providing insights and recommendations for improvement
