The role of Convention Services Manager at Gaylord Pacific Resort & Convention Center is integral to the smooth operation of all convention and event services within the property. Reporting directly to the Assistant Director of Convention Services, this full-time management position commands an annual salary range of $94,000 to $125,000 and is bonus eligible. The Convention Services Manager supports the department by managing and coordinating all Convention Services activities, ensuring seamless execution of conventions, functions, and events that require specialized meeting services.

This position involves planning, supervising, and directing the complex logistics of convention services for high-profile and intricate event groups. The manager will work closely with sales, marketing, food and beverage, and operational teams to deliver customized, client-focused event experiences. Responsibilities include negotiating contracts, resolving conflicts, forecasting group revenues, managing room blocks, and reinforcing client satisfaction through meticulous planning and communication. This managerial role also places emphasis on employee development, leading training initiatives, and mentoring staff members to uphold industry standards and maintain advanced knowledge of current trends. The Convention Services Manager plays a critical part in enhancing operational efficiencies and ensuring the property maximizes revenue opportunities by leveraging goods, services, attractions, and subcontractors.

Job Requirements

  • High school diploma or GED
  • Minimum 6 years experience in event management, food and beverage, sales, marketing or related area
  • Or bachelor’s degree in Hotel and Restaurant Management, Hospitality, Business Administration or related major
  • Minimum 3 years experience in event management or related area
  • Strong communication skills
  • Proficiency in event planning and coordination
  • Ability to manage multiple projects and deadlines
  • Knowledge of sales and catering software
  • Leadership and mentoring capabilities
  • Ability to work under pressure and resolve conflicts

Job Qualifications

  • High school diploma or GED with 6 years experience in event management, food and beverage, sales or marketing, or related professional area
  • Bachelor’s degree in Hotel and Restaurant Management, Hospitality, Business Administration, or related major with 3 years experience in event management or related area
  • Proven ability to manage complex events and client relations
  • Strong familiarity with sales and catering systems
  • Excellent communication and interpersonal skills
  • Experience in staff training and development
  • Ability to forecast revenues and manage budgets
  • Knowledge of current trends in the convention and meeting industry
  • Skills in conflict resolution and team leadership.

Job Duties

  • Manage and coordinate Convention Services activities associated with planning, supervising and executing events for complex and high touch convention groups
  • Plan and develop programs, agendas, and services according to client requirements
  • Communicate all group specifications and history to the appropriate operational departments and ensure implementation
  • Forecast group revenues accurately according to established guidelines
  • Promote the proper use of function space, exhibit hall, and overall event space
  • Maximize group revenue by referring available goods, services, attractions, and subcontractors
  • Assist with training and development initiatives for Convention Services staff
  • Oversee contracted group room blocks including cutoffs and attrition
  • Create external communications including contract addendums, introductory letters, and tentative event schedules
  • Host planning meetings, site inspections, and pre-convention meetings
  • Promote client satisfaction through smooth execution of assigned conventions
  • Provide constructive coaching and counseling to employees
  • Manage group or interpersonal conflict situations
  • Develop and manage hourly employees
  • Adhere to EEO and AA policies.
