The Senior Event Producer (SEP) role at Off the Grid is a full-time position that demands leadership, creativity, and operational expertise. The SEP is responsible for steering the most complex and large-scale event operations, ensuring each event aligns with the company's values and delivers an exceptional, whimsical experience for clients and guests. This role requires a natural organizer and communicator who can manage multiple responsibilities with poise and precision from event conception through to flawless onsite execution.
Reporting to the Catering Operations Manager, the Senior Event Producer leads a team of onsite event producers and collaborates closely with sales, account executives, and various internal teams. The SEP oversees all aspects of event production including planning, logistics, permitting, vendor management, and client communication. This role is not only about managing the logistics but also about crafting unique food experiences that captivate clients and guests, reflecting Off the Grid’s innovative culinary ethos.
Off the Grid values initiative and problem-solving; hence, the Senior Event Producer plays a critical role in addressing the complexities of large-scale events such as multi-day conferences and public food markets. The candidate must demonstrate adaptability, resourcefulness, and exceptional interpersonal skills, enabling them to manage client expectations effectively, negotiate vendor contracts, and lead diverse teams with respect and confidence. This role is based primarily out of the Russian Hill office in San Francisco and operates on a Monday to Friday schedule with occasional nights and weekends to support event production. It employs a hybrid work model with set in-office days on Tuesdays and Wednesdays.

Job Requirements
- Four or more years of full-time event planning and/or catering logistics experience
- Bachelor’s degree is a plus
- Proficient experience in Excel and Google Sheets
- Experience with Salesforce or similar CRM, Google Suite, and Canva is a plus
- Ability to travel up to 70 percent
- Must have strong event planning and/or catering production management skills
- Must have a reliable source of transportation to and from home, office, and events
- Ability to work in both indoor and outdoor environments
- Ability to lift and move up to 20 pounds
- Must be able to communicate effectively and manage multiple tasks
- Availability to work nights and weekends as needed
Job Qualifications
- Four or more years of full-time event planning and/or catering logistics experience
- Bachelor’s degree is a plus
- Proficient in Excel and Google Sheets
- Experience with Salesforce or similar CRM, Google Suite, and Canva is a plus
- Strong event planning and catering production management skills
- Excellent interpersonal and problem-solving abilities
- Ability to multitask effectively and manage large teams
- Proven experience managing large-scale events and complex operations
- Strong negotiation skills
- Excellent communication and client relationship management skills
Job Duties
- Oversee the design and execution of full production plans for onsite and offsite services including budgets, event experience design, catering, rentals, production schedules, timelines and floor plans
- Collaborate with sales, operations, creative, and production teams to project manage public and private events from inception through on-site execution and post-project wrap-up
- Maintain record of event and department-related expenses
- Develop layout of small and large-scale events focusing on aesthetic, flow and functionality
- Ensure flawless execution, quality of service and timely delivery of all necessary components, properties, and materials for each event, on-site
- Collaborate with creators and vendors, both in-house and third party, to efficiently and respectfully deliver services
- Build relationships with existing talent, partners and stakeholders maintaining the brand status of excellent service, client satisfaction while focusing on increased sales opportunities
- Enforce third party compliance with license, insurance, city and fire codes, and other permitting requirements
- Produce large-scale, complex events such as multi-day events and conferences
- Work with the accounting team and support clients on planning, execution and post-event reporting
- Maintain consistent and thorough communication with all involved
- Negotiate contracts/agreements with third party vendors and team contractors
- Create and maintain project plans, timelines and budgets for each event and increase revenue through planning and managing vendor contracts to fall within budget
- Develop and track project schedules, agendas and event flows as needed
- Develop and manage customer expectations by providing clear communication, hospitality and professionalism
- Maintain relationships with high value customer contacts, creating repeat business
- Proactively address and escalate customer complaints and concerns and engage in client recovery meetings on case by case basis
