The Senior Event Producer (SEP) at Off the Grid is a full-time role integral to leading complex and large-scale event operations. This position calls for a natural communicator and organizer who is deeply committed to engaging clients and guests to create memorable and high-quality experiences that align with the company’s values. The SEP will lead event planning, curation, and on-site execution for a variety of events throughout the Bay Area, functioning as the primary point of contact for all aspects of event production. Meticulous, well-organized, and quick-thinking, the SEP is expected to manage multiple priorities simultaneously with poise and professionalism.
The SEP works closely with the Sales Team and Account Executives to ensure smooth communication and execution from the initial client interaction through to event completion, which includes logistics coordination, permitting, vendor management, and direct on-site event supervision. Reporting to the Catering Operations Manager, the role also involves leading a team of onsite event producers.
The Senior Event Producer must demonstrate superior problem-solving capabilities, especially when handling large, high-profile events like multi-day conferences. Their responsibilities also occasionally extend to designing and implementing aspects of Off the Grid’s public events, all while anticipating and effectively addressing potential challenges. Strong interpersonal skills are critical to this role, enabling the SEP to manage client expectations, negotiate with vendors, and lead diverse teams confidently and respectfully. Adaptability and resourcefulness to make critical decisions under pressure are essential qualities to uphold the reputation of excellence for which Off the Grid is known.
Operating primarily from the Russian Hill office in San Francisco, the SEP holds a Monday to Friday schedule but must be flexible to work evenings and weekends as event production demands. The position is hybrid, with office days scheduled on Tuesdays and Wednesdays from 9 to 5. This role is perfect for a proactive, detail-oriented individual passionate about food culture and committed to producing exceptional and seamless event experiences that wow clients and guests alike.

Job Requirements
- 4+ years of full-time event planning and/or catering logistics experience
- proficiency in Excel and Google Sheets
- ability to travel up to 70%
- must have a reliable source of transportation
- ability to work Monday through Friday with flexible evenings and weekends
- ability to work in hybrid schedule with in-office days on Tuesdays and Wednesdays
- capability to lift and/or move up to 20 pounds
- ability to effectively communicate and handle environmental conditions both indoors and outdoors
Job Qualifications
- Event planning and/or catering production, management
- strong interpersonal and communication skills
- ability to multitask and problem solve effectively
- experience managing large-scale, complex events
- proficiency in Excel and Google Sheets
- experience with Salesforce or similar CRM systems is a plus
- familiarity with Google Suite and Canva is a plus
- bachelor’s degree is a plus
Job Duties
- Oversee the design and execution of full production plans for onsite and offsite services to include budgets, event experience design, catering, rentals, production schedules, timelines and floor plans
- collaborate with sales, operations, creative, and production teams to project manage public and private events from inception through on-site execution and post-project wrap-up
- maintain record of event and department-related expenses
- develop layout of small and large-scale events with focus on aesthetic, flow and functionality
- ensure flawless execution, quality of service and timely delivery of all necessary components, properties, and materials for each event, on-site
- collaborate with creators and vendors, both in-house and 3rd party, to efficiently and respectfully deliver services
- build relationships with existing talent, partners and stakeholders maintaining the brand status of excellent service, client satisfaction while focusing on increased sales opportunities
- enforce third party compliance with license, insurance, City and Fire Codes, and other permitting requirements
- produce large-scale, complex events such as multi-day events and conferences
- work with the accounting team and support clients on planning, execution and post-event reporting
- maintain consistent and thorough communication with all involved
- negotiate contracts/agreements with 3rd party vendors and team contractors
- create and maintain a project plan, timeline and budget for each event and increase revenue through planning and managing vendor contracts to fall within budget
- develop and track project schedules, agendas and event flows as needed
- develop and manage customer expectations by providing clear communication, hospitality, and professionalism
- maintain relationships with high value customer contacts, creating repeat business
- proactively address and escalate customer complaints and concerns and engage in client recovery meetings, on case by case basis
