Job Description

The University of Utah is seeking a Senior Event Manager to join the Stadium, Arena & Campus Event Services (SACES) team. This full-time position reports to the Associate Director of Events and Operations and plays a pivotal role in managing the planning and execution of events with attendance ranging from intimate groups of 10 to over 45,000 guests. The Senior Event Manager serves as the primary contact for clients, ensuring seamless coordination and delivery of top-tier event services at Rice-Eccles Stadium and the Jon M. Huntsman Center.

This role demands a highly organized and experienced professional capable of overseeing daily operations for the Client Services staff, coordinating with various internal departments such as parking, police, and security, as well as managing relationships with contracted guest services. The Senior Event Manager will develop and maintain strong communication channels among all stakeholders, including clients, vendors, university departments, and third parties, to ensure that event details are clearly conveyed and executed flawlessly.

In addition to client interaction and operational oversight, responsibilities include managing event orders, financial documents such as budgets and post-event settlements, and supervising the Client Services Department supervisors and assistants. The position requires frequent engagement with the team through meetings and one-on-one sessions to provide coaching, counseling, and support.

Candidates must be prepared for a dynamic work schedule that includes working nights, weekends, holidays, and exposure to outdoor conditions with varying climates. The pay range for this role is competitive, ranging from $28.00 to $31.00 per hour depending on experience.

Job Requirements

  • Bachelor's degree or equivalent experience
  • Four years of directly related work experience or master's degree plus two years of related experience
  • Ability to work a varying schedule including nights, weekends, and holidays
  • Capability to work outdoors under varying temperatures and weather conditions
  • Strong organizational and communication skills
  • Proficient in event management software preferred
  • Must be able to manage and lead a team effectively

  • Experience supervising staff and mentoring team members

Job Duties

  • Serve as the primary event manager planning contact for assigned clients and act as a liaison between the client, Stadium, and other University departments
  • Meet and conduct walk-throughs with clients to determine event scope and needs while establishing all venue rules, regulations, and policies
  • Manage timely production and distribution of event orders, information sheets, layouts, and timelines to all Stadium departments
  • Coordinate services with vendors and appropriate University entities including catering, AV, parking, ushers, security, etc.
  • Maintain frequent, direct communication with clients throughout the planning process so that timelines are met and changes are efficiently managed
  • Create, deliver, and monitor all client financial documents including pre-event budgets, event orders, and post-event settlements
  • Attend weekly meetings including production, Client Services Department, and one-on-one with the direct supervisor
  • Coach, counsel, and support Client Services Department supervisors and assistants
  • Manage all client services team and assign all events and part-time events assistants
