Job Requirements
- Professional demeanor appropriate for a luxury environment
- Ability to sit at a desk in front of a computer screen continuously and perform fine manipulation
- Ability to use telephone and computer keyboard on a daily basis
- Physically fit to lift, pull and push items up to 50 pounds
- Ability to stand, walk, reach and bend throughout the shift
- Ability to perform multiple tasks in a fast-paced environment
- 3-5 years experience in event management at a luxury property preferred
- Knowledge of CI-TY software preferred
- Ability to communicate in English
- Ability to work flexible schedules including holidays and weekends
- Ability to work with financial data and basic arithmetic
- 4-year university degree preferred or equivalent experience
Job Qualifications
- 4-year university degree preferred or equivalent experience in luxury hotels/resorts
- 3-5 years experience in event management at a luxury property preferred
- Knowledge of CI-TY preferred
- Proven organizational, interpersonal and communication skills
- Possess sound strategic and tactical decision making skills
- Knowledge of catering and events market
- Knowledge of diverse events such as bar mitzvahs, corporate events, reunions, golf tournaments
- Proven ability to handle complex group and social events
- Ability to communicate in English
- Second language is a plus
- Ability to work flexible schedules including holidays and weekends
- Ability to work with and understand financial information and data
- Physical fitness to perform duties in a fast-paced environment
Job Duties
- Build and maintain close relationships with meeting and event planners, the Sales team, and all operating departments/resort management
- Lead pre-event and post-event meetings for assigned groups
- Identify operational challenges associated with assigned groups and work with property staff and clients to solve challenges or develop alternative solutions
- Manage client budgets to maximize revenue and meet client needs
- Manage group room blocks and meeting space for assigned groups
- Up-sell products and services throughout the event process
- Participate in client site inspections and assist with the sales process when necessary
- Act as a liaison between field sales person and client throughout the event process (pre-event, event, and post-event)
- Forecast group sleeping rooms and event revenue (catering and audio-visual) for assigned groups
- Review billing and payments with clients
- Work closely with Accounting on pre/post event billing arrangements
- Follow up with customers post-event
- Greet customers during the event phase and hand-off to the Event Operations team for execution
- Review comment cards and guest satisfaction results with associates
- Coordinate and communicate verbally and in writing with client regarding event details
- Maintain efficient use of function space and accurate function types in CI-TY
- Maintain accurate housing/guest room pick-up information in CI-TY
- Detail all food, beverage, set-up, décor, entertainment, optional activities, transportation, and other event-related details
- Communicate event orders and details with all operating departments
- Complete and ensure all event paperwork is accurate and distributed timely
- Attend all intra/inter-departmental meetings as assigned
- Assist with potential clients (site-inspections/FAMs) as required
- Assist the Senior Director of Catering & Events and Banquet Operations with budgets and forecasts
- Inspect function space for physical appearance and maintenance needs
- Perform other reasonable duties as required by management
