Job Requirements

  • Bachelor's degree in hospitality, business, facility management or related field
  • Minimum 3 years of experience in hospitality or customer service
  • Minimum 3 years of event planning, meeting planning, or production experience
  • Ability to work independently and multitask effectively
  • Ability to use Ungerboeck Event Management software (EBMS) after training
  • Availability to work extended hours including nights, weekends, and holidays
  • Excellent interpersonal and communication skills
  • Strong organizational and planning skills
  • Ability to respond promptly to emergency situations
  • Physical ability to stand or walk up to 8-10 hours daily
  • Professional demeanor and ethical standards
  • Proficiency in Microsoft Word, Excel, and PowerPoint
  • Ability to collaborate with multiple stakeholders
  • Willingness to support safety programs and departmental goals.

Job Qualifications

  • Bachelor's degree in hospitality, business, facility management or related field
  • Minimum 3 years of experience in hospitality or customer service
  • Minimum 3 years of event planning, meeting planning, or production experience
  • Certified Meeting Planner (CMP) preferred
  • Exceptional interpersonal, organizational, communication, and presentation skills
  • Excellent negotiation skills
  • Excellent business judgment and timely decision-making ability
  • Strong planning, organizing, and prioritizing skills
  • Ability to work independently with minimal supervision
  • Ability to multitask effectively and efficiently
  • Self-motivated and energetic
  • Ability to use Ungerboeck Event Management software (EBMS) after training
  • Strong problem-solving skills and ability to analyze information

Job Duties

  • Assist with supervision of Event Managers and Event Coordinators
  • Meet with customers to plan and organize assigned meetings and events
  • Coordinate activities with various service contractors for assigned meetings and events
  • Assign events to event management team in absence of Director of Event Management
  • Provide exceptional customer service, hospitality, and prompt attention to customer needs
  • Provide timely and accurate information necessary for event production
  • Manage multiple events and phases of event production
  • Act as key contact with customers for communication and logistical requirements
  • Implement facility rules, regulations, policies and procedures
  • Anticipate problems and propose appropriate solutions
  • Review and approve event requirements prior to weekly staff meeting
  • Guide customers in the preparation of events by interpreting and explaining contract provisions, policies, and procedures
  • Inform customers on the status of deadline schedules, including floor plan submissions and insurance requirements
  • Provide clear, concise, and timely communication of detailed requirements to operational departments
  • Assist in scheduling operational set-ups to provide equipment or service needs
  • Monitor and supervise facility set-up as required
  • Assist in training event services staff
  • Serve as primary or secondary liaison between customers and facility departments
  • Monitor in-house events maintaining close contact with customers and facility staff
  • Attend planning, organization, and other event and facility meetings
  • Support secondary event manager program
  • Be accessible 24 hours per day in case of emergencies
  • Collaborate with Pennsylvania Convention Visitors Bureau, contractors, and internal partners
  • Manage event decisions based on PCC/ASM Global policies
  • Maintain awareness of surroundings to prevent accidents
  • Ensure availability of PCC/ASM Global equipment contracted for customer use
  • Serve as manager on duty as required
  • Work extended/irregular hours including nights, weekends, and holidays
  • Promote and fulfill ASM Global goals and brand promise
  • Participate in safety programs
  • Assist with various projects and special assignments
  • Cover primary, secondary shifts and event floor manager responsibilities
  • Perform other duties as assigned.
