Residential & Dining Enterprises (R&DE) is the university’s largest auxiliary organization, supporting the campus's academic mission through comprehensive housing, dining, and hospitality services. With an annual operating budget of $400 million, R&DE manages a substantial portfolio of assets—over $3 billion in value and covering one-third of Stanford’s campus footprint. It provides accommodation for around 16,000 students and their families and serves nearly 8 million meals yearly through a network of 48 dining venues and 32 culinary enterprises. Beyond food and housing, R&DE offers executive services, conference operations, and guest lodging, managed by a talented team exceeding 1,200 staff members. The Senior Event & Hospitality Manager (Catering & VIP Events) position is a vital leadership role within Stanford Dining, Hospitality & Auxiliaries. Reporting to the Director of Stanford Catering, the incumbent is responsible for the strategic planning, execution, and overall success of Stanford’s most prestigious and high-profile catering and hospitality events. This includes organizing the university's significant flagship events known as the ``Big 5'' and specialized events for senior leaders such as the President, Provost, Board of Trustees, and distinguished guests. These events require the utmost precision, discretion, and professionalism, reflecting Stanford’s standing and reputation.

The role demands comprehensive management skills to translate event goals into coordinated actions spanning culinary services, operational logistics, and customer experience. The Senior Event & Hospitality Manager works closely with various campus partners and internal teams to ensure flawless event execution, driving accountability, stakeholder alignment, and operational excellence. This leadership position not only oversees delivery quality but also manages event financials, monitors participant satisfaction, and continuously improves service processes. The role is essential and located onsite, requiring availability beyond typical work hours, including evenings and weekends. The estimated pay range is $80,000 to $100,000 per annum, though compensation will be influenced by candidate qualifications and market factors. Job Requirements

  • Bachelor’s degree or equivalent combination of education and experience
  • Minimum of five years of relevant experience in event management or hospitality
  • Superior project and event management skills
  • Ability to manage diverse teams including staff and contingent labor
  • Experience with financial management of complex event budgets
  • Extreme attention to detail and ability to prioritize complex workflows
  • Excellent communication time management and customer service skills
  • Ability to work diplomatically through formal and informal channels
  • High level of confidence in strategic decision-making and problem-solving abilities
  • Valid Non-Commercial Class California Driver’s License
  • Ability to stand walk sit frequently and occasionally perform physical tasks including lifting 21-40 pounds
  • Willingness to work some evenings weekends and travel as required

Job Qualifications

  • Bachelor’s degree in hospitality management business administration or related field
  • Five years of relevant experience in event management or hospitality leadership
  • Proven ability to manage complex event logistics including budgeting and team supervision
  • Strong communication and interpersonal skills for engaging senior stakeholders and diverse teams
  • Demonstrated expertise in financial management and analytical skills for budget oversight
  • Excellent organizational skills with keen attention to detail
  • Ability to lead and motivate diverse teams under pressure to meet deadlines and quality standards

Job Duties

  • Deliver exceptional high-profile event execution by successfully planning and executing Stanford’s most visible and complex events achieving defined targets for service quality stakeholder satisfaction and operational excellence
  • Own end-to-end event performance and accountability by maintaining full responsibility for all aspects of event delivery including planning execution financial outcomes and post-event evaluation
  • Lead senior stakeholder engagement and alignment by effectively managing relationships and expectations with university leadership campus partners and external clients ensuring events meet strategic priorities and objectives
  • Ensure operational excellence in complex environments by consistently delivering high-quality events that exceed standards for hospitality food quality presentation and service while successfully navigating dynamic conditions
  • Achieve financial performance targets by developing and managing event budgets optimizing labor and resource utilization and delivering events within established financial parameters
  • Serve as project manager of multiple activities scope out project tasks team assignments and guide team to create work plans and schedules monitor progress and meet milestones
  • Oversee the management of event teams and or production consultants to produce quality multi-faceted events and productions
