Job Requirements

  • Bachelor's degree or equivalent experience
  • 5-7 years of large-scale conference operations management experience
  • experience managing event budgets up to 3 million dollars
  • proficiency with Microsoft Office Suite and Google Workspace
  • experience using event management platforms such as GetRegistered and Whova
  • familiarity with project management systems like Asana, SmartSheets, Monday.com
  • knowledge of design tools including Canva and Adobe Creative Suite
  • ability to use virtual and hybrid platforms like Zoom, WebEx, Teams
  • competence with email marketing platforms such as MailChimp and Constant Contact
  • excellent organizational and communication skills
  • willingness to travel domestically and internationally up to 25 percent annually
  • ability to work independently in a remote home office environment
  • flexibility for extended hours during peak periods
  • ability to lift 10-25 pounds

Job Qualifications

  • Bachelor's degree or equivalent experience
  • 5-7 years large-scale conference operations management experience preferably in non-profit or association settings
  • experience managing multi-million dollar event budgets
  • experience facilitating program work with volunteer teams and committees
  • strong technological aptitude with proficiency in Microsoft Office, Google Workspace, WordPress, event management platforms (GetRegistered, Whova), project management systems (Asana, SmartSheets, Monday.com), design tools (Canva, Adobe Creative Suite), virtual and hybrid platforms (Zoom, WebEx, Teams), email marketing software (MailChimp, Constant Contact)

Job Duties

  • Develop and manage comprehensive project timelines
  • own all planning aspects including RFPs, contracting, food and beverage, audio-visual, registration, security, childcare, housing block management, and logistics
  • supervise, coach, and mentor two direct reports
  • partner with external marketing firm for signage and branding elements
  • oversee sponsorship program administration and benefits fulfilment
  • lead implementation and troubleshooting of event apps and digital platforms
  • participate in volunteer meetings for program development
  • build collaborative relationships with stakeholders
  • create event communications and website content
  • manage onsite operations and make real-time decisions
  • conduct post-event analysis and reconcile budgets
  • implement process improvements
