We specialize in managing large-scale scientific and niche niche focus conferences that bring together professionals, researchers, and stakeholders from various fields to share knowledge, network, and explore innovations. Our flagship annual scientific conference attracts over 4500 attendees and operates with a budget exceeding 3 million dollars, underscoring our commitment to delivering impactful, well-organized events that contribute to the growth and dissemination of scientific knowledge.

We are currently seeking a highly motivated, self-directed Senior Conference Operations Manager to join our dedicated team. This role is integral to the success of our events portfolio, which includes our major annual conference and six additional smaller niche conferences with attendance between 100 and 400 participants. The successful candidate will play a leadership role in all conference operations, acting as the conference and project manager to ensure flawless execution, budget management, and superior attendee experience. This position is tailored for an independent problem solver who thrives in dynamic environments and excels at mastering new technologies quickly. The Senior Conference Operations Manager will bring critical thinking skills, strong negotiation abilities, and a resourceful approach to navigating challenges within a fast-paced, deadline-driven setting.

In this role, the manager will be responsible for developing and overseeing comprehensive project timelines, managing a wide array of logistics including RFPs, contracting, food and beverage, audio-visual components, security, childcare, housing, and other essential operational facets. Leadership skills are paramount, as this individual will supervise and mentor two direct reports. Collaboration with external vendors and marketing partners is vital to maintain branding and signage standards, as well as sponsorship program administration and benefit fulfillment.

Technological proficiency is essential as the role requires mastery over multiple platforms including Microsoft Office, Google Workspace, event management software such as GetRegistered and Whova, project management tools like Asana, SmartSheets, and Monday.com, and design applications such as Canva and Adobe Creative Suite. Additionally, expertise in virtual and hybrid communication platforms including Zoom, WebEx, and Teams, as well as email marketing services like MailChimp and Constant Contact, is needed. This manager will consistently introduce new technologies to enhance operational efficiency and attendee satisfaction.

The Senior Conference Operations Manager will also be tasked with managing onsite event operations, making quick decisions under pressure, conducting post-event analyses, and implementing continuous process improvements. Excellent communication and organizational skills are required to support volunteer teams and various committees effectively. This role demands a commitment to stewardship of association finances, exercising judicious budget and expense management practices.

The position is based in a remote home office, necessitating strong self-management skills, a proactive attitude, and the flexibility to work extended hours during peak periods including evenings and weekends. Travel within the United States and internationally is expected up to 25 percent annually. Candidates must possess a bachelor's degree or equivalent experience and demonstrate technical agility, exceptional attention to detail, and an ownership mentality.

Job Duties
