The Student Engagement and Leadership Development (SELD) department at CSUMB is seeking a full-time, Administrative Support Coordinator I to serve as the Meeting and Events Office Coordinator. This vital role involves coordinating complex administrative functions and operational support for SELD. The position reports to the Director of Student Engagement and Leadership Development and plays a key role in managing workflows, projects, and event processes within the department. The coordinator works closely with SELD staff and supports numerous student organizations, including the Associated Students (AS), Inter-Club Council (ICC), and United Sorority and Fraternity Council (USFC), ensuring smooth operations and compliance with university policies. Responsibilities include managing event-related processes through the MyRaft system, collaborating with campus partners to facilitate event logistics such as catering and facility arrangements, and maintaining accurate tracking of workflows and approvals.

Beyond event coordination, the role oversees general office operations, including supply management, student assistant supervision, and SOP development. The coordinator is often the first point of contact for campus and community members seeking information about SELD and student organization activities, requiring excellent communication skills and a deep understanding of university policies and administrative systems. Additional functions include coordinating travel arrangements for staff and students, managing financial documentation associated with events and travel, and preparing detailed reports to enhance operational efficiency. This position requires a high level of discretion and the ability to handle confidential information responsibly. The anticipated starting salary is approximately $4,047 per month, and the position is classified as non-exempt, full-time with a 40-hour workweek. Job Requirements

  • Possess knowledge and skill in standard office procedures

  • Must have valid California driver’s license, pass Defensive Driving class, and be insurable
  • Complete successful background check
  • Comply with CSU Title IX reporting and mandated reporter requirements

Job Qualifications

  • High school diploma or equivalent
  • Several years of related office work experience
  • Thorough knowledge of English grammar, spelling, and punctuation
  • Ability to communicate clearly both orally and in writing
  • Experience with office procedures and technology
  • Ability to handle multiple priorities and projects independently
  • Knowledge of budget policies and procedures
  • Ability to draft correspondence and standard reports
  • Ability to handle sensitive interpersonal contacts
  • Bilingual preferred
  • Technical fluency with Oracle/PeopleSoft, CSU Common Management System, Microsoft Office, Google Workspace, 25Live, intranet drives, and internet browsers

Job Duties

  • Coordinate meetings and events for SELD and student organizations
  • Serve as liaison to University Affairs, Ceremonies and Events
  • Review event documents for completeness and policy compliance
  • Track and monitor event workflows and approvals
  • Communicate and coordinate catering and logistical needs with campus partners
  • Provide guidance and training to student leaders on event planning
  • Submit work orders and manage supplies for club activities
  • Supervise student assistants and coordinate office workflows
  • Serve as first point of contact for SELD inquiries
  • Provide administrative support including correspondence, reports, and website updates
  • Track and prepare reports related to events and student activities
  • Coordinate travel arrangements and process reimbursements
  • Participate in department meetings, trainings, and professional development
  • Perform other job-related duties and special projects as assigned
