The Student Engagement and Leadership Development (SELD) Office is seeking a Meeting and Events Office Coordinator who will play a critical role in supporting the administrative and operational functions of the department. Reporting to the Director of SELD, this full-time, on-site position is key to ensuring the smooth coordination of activities and events involving various student organizations, including Associated Students (AS), Inter-Club Council (ICC), and United Sorority and Fraternity Council (USFC). The Coordinator will manage the workflows and processes related to event planning and execution, ensuring compliance with university policies, and will serve as a resource to students and staff alike. This includes reviewing event documents for accuracy, managing logistics such as catering and facilities coordination, and acting as a liaison to campus partners.
In addition to event coordination, the role involves operational support such as maintaining office supplies, managing equipment check-outs, and handling general administrative tasks like updating websites, data entry, correspondence, and providing information to campus and community members. The Coordinator also supports travel arrangements and reimbursement processes for staff and students, maintaining compliance with university travel policies. The position requires attention to detail, the ability to manage multiple priorities independently, and strong interpersonal skills to engage effectively with a diverse campus community. As part of the role, the Coordinator is expected to participate actively in department initiatives, training, and professional development opportunities. The salary for this position is anticipated at approximately $4,047 per month as a staff-level Administrative Support Coordinator I within the CSU salary schedule. Job Requirements

- High school diploma or equivalent
- Several years of related office work experience
- Ability to apply policies and procedures independently

- Must comply with confidentiality requirements and university policies
- Valid California driver’s license and insurability
- Must pass Defensive Training Class
- May require occasional evenings and weekend work
- Willingness to complete background check and mandated reporting duties

- Proficiency in Microsoft Office Professional and Google Workspace
- Experience with 25Live and intranet systems
Job Duties
- Coordinate meetings and events for SELD and student organizations by serving as liaison to University Affairs, Ceremonies and Events (UACE)
- Review and provide guidance on documents submitted through MyRaft for event compliance
- Track and monitor event workflow approvals including catering and facility work orders
- Collaborate to ensure logistics and successful event execution
- Represent SELD/AS in campus-wide event planning meetings and coordinate follow-ups
- Coordinate office workflows, administrative processes, and order/distribute supplies for club activities
- Provide lead work direction to student assistants and maintain office SOPs
- Serve as first point of contact providing information on SELD and AS matters
- Assist in processing POI forms, DUB certifications, and SELD office procedures
- Use discretion in handling confidential materials and correspondence
- Track and prepare reports related to events, office operations, and student activities
- Coordinate travel arrangements and process travel reimbursements maintaining compliance
- Participate in department meetings, training, retreats, conferences, and perform other assigned duties
