The Secretary at the school level plays a crucial role in managing various administrative tasks that keep the school running smoothly. This includes compiling and typing reports such as attendance, processing student registration and absentee documents, managing correspondence, and preparing reports and tabulations as required. The position demands proficiency in office equipment, including the use of copy machines and duplicating equipment, as well as handling purchase orders and work orders. The secretary also serves as a point of contact for students, parents, and the public, providing information and assistance with a thorough understanding of school policies, rules, and procedures. This role often includes receptionist duties and the organization of appointments and communication for the principal or assistant principal. The position's responsibilities extend to managing financial tasks such as receiving, depositing, and disbursing funds, maintaining internal accounts, and preparing financial and payroll reports.
In addition to routine duties, the secretary may be required to maintain various school records, including attendance, property, and time records, and may also take dictation and transcribe documents. Attention to detail, independent judgment, and effective communication are essential for success in this role. The secretary must also be capable of coordinating tasks to meet deadlines while managing interactions with a variety of internal and external stakeholders. Working within an environmentally controlled office, the position requires sitting for most of the day coupled with occasional physical tasks involving light lifting. Job Duties
- Compiles and types school attendance reports or other material from copy, rough draft, or general instructions
- types and processes students' registration, absentee lists, tardy slips, etc
- types form letters and other routine correspondence based on information from records and files
- prepares reports, narratives, and statistical tabulations
- operates office copy machines
- processes purchase and work orders
- registers and withdraws students
- processes documents requiring various procedural knowledge
- maintains files
- reviews documents for sufficiency, obtains necessary signatures and routes appropriately, maintaining follow-up
- provides information and assistance to students and the general public, in person or by telephone
- performs receptionist duties
- may serve as secretary to the principal or assistant principal, arranging appointments, taking calls, answering inquiries, and composing routine correspondence independently
- receives, deposits, and disburses monies
- maintains internal accounts and prepares financial reports
- maintains attendance records and prepares related reports
