The School Receptionist at St. Thomas Aquinas Catholic School serves an essential role within this vibrant community. This position operates on a part-time basis, specifically on Mondays, Wednesdays, and Fridays during the school session. The receptionist acts as the front-line contact for the school, facilitating communication between the school and its visitors, including students, parents, teachers, and other guests. This role is responsible for managing a variety of administrative and clerical duties that support the overall operation and smooth functioning of the school office.
Key responsibilities include preparing, copying, and distributing important notices, memoranda, and correspondence to inform school employees of activities and events. The receptionist assists in planning and scheduling school events such as orientations, field trips, open houses, sporting events, assemblies, and conferences, ensuring that these activities are coordinated efficiently and effectively. Additionally, this role manages the maintenance of essential documents, files, and records to ensure up-to-date references and compliance with school and district regulations. The receptionist also prepares purchase orders and helps maintain inventory supplies to support day-to-day school operations.
Further duties encompass answering incoming telephone calls, assisting visitors, and distributing mail. The receptionist evaluates situations as they arise and directs matters to the appropriate personnel for resolution when necessary. Responsibilities also include registering new students by completing required enrollment forms, obtaining transcripts, and updating computerized student records related to enrollment, transportation, attendance, and other vital information.

Job Duties
- Prepares, copies and distributes notices, memoranda or other correspondence for the purpose of informing school employees regarding activities, events or other work-related matters
- Assists in planning and scheduling school events and activities, and maintaining calendar of school and students events for the purpose of coordinating and scheduling events such as orientation, open house, field trips, sporting events, assemblies, conferences
- Assists in maintaining documents, files and records for the purpose of providing up-to-date reference and audit trail for compliance
- Prepare purchase orders for the purpose of submitting to the school district's accounting/finance office
- Assists in maintaining inventories of supplies and materials for the purpose of ensuring items' availability
- Assist visitors to the office, including students, parents, substitutes teachers, and others
- Answers telephone calls, and provide information and assistance to callers
- Distribute incoming mail appropriately

- Evaluates situations for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution

- Responds to inquiries from students, parents and employees, providing information, facilitating communication among parties and/or providing direction
