The Scheduling Specialist Concierge role at St. Mary Medical Center offers a full-time position requiring approximately 40 hours per week, typically scheduled during day shifts from Monday to Friday, 7:30 a.m. to 4 p.m., with flexibility to accommodate community events or business needs. This position plays a critical role in the patient care continuum by acting as the primary voice of Trinity Health MidAtlantic for concierge and access requests, ensuring a seamless and positive experience for patients. The specialist manages high-priority referrals and performs comprehensive patient access functions such as scheduling appointments, patient registration, insurance verification, and resolving escalated billing issues.
This dynamic role requires coordinating multiple clinical services in the correct sequence, effectively communicating with patients and physician offices regarding test preparations, insurance requirements, authorizations, and financial responsibilities. Collaboration across various departments is essential to optimize resources while balancing physician preferences and patient needs. The Scheduling Specialist Concierge also addresses complex scheduling challenges, including STAT appointments, approvals, block times, and study selections, ensuring smooth care delivery.
Additionally, the specialist is expected to actively engage in process improvement initiatives to enhance care delivery systems, maintain consistent decision-making standards, and provide excellent patient service. The position requires a local candidate willing to commute within the Mid-Atlantic region of Trinity Health, traveling between facilities like St. Mary Medical Center, NAC, and other community events. Job Requirements
- high school diploma or equivalent
- two to five years experience in scheduling financial clearance or patient access
- must be proficient in the use of patient registration and patient accounting systems and related software
- national certification in HFMA CRCR or NAHAM CHAA required within one year of hire
- must be local and willing to commute within the Trinity Health Mid-Atlantic region
- ability to travel between sites such as SMMC NAC community events etc
Job Qualifications
- high school diploma or equivalent
- two to five years experience in area of expertise such as scheduling financial clearance or patient access
- national certification in HFMA CRCR or NAHAM CHAA required within one year of hire
- proficiency in the use of patient registration patient accounting systems and related software systems
- associates degree preferred
- comprehensive knowledge of scheduling with mastery in at least three or more modalities insurance verification processes with three years scheduling experience in an acute care setting
- experience in complex facility based ancillary testing across multiple facilities or states
- strong knowledge of third party and government payer billing and reimbursement guidelines as well as department performance standards policies and procedures
