Job Description

The University of Pittsburgh is a renowned academic institution committed to fostering student success and well-being through diverse campus offerings. Among its many programs, Campus Recreation stands out as a vital part of the Student Affairs Wellness team, dedicated to promoting the overall health and wellness of the university community. This dynamic department provides inclusive wellness, fitness, and recreation opportunities that serve students, faculty, and staff across campus. Recently, Campus Recreation marked a significant milestone with the opening of a new, state-of-the-art recreation and wellness center spanning 270,000 square feet over nine stories. This cutting-edge facility reflects the university's commitment to providing top-tier recreation amenities and supports a vibrant campus life.

Within this innovative environment, the Scheduling & Events Coordinator role is crucial to the efficient operation and management of the new wellness center along with satellite Campus Recreation facilities. As a full-time, regular staff position classified as Campus Recreation Coordinator III, the role involves comprehensive oversight of facility scheduling, reservation management, event coordination, and student staff leadership. The coordinator serves as a primary liaison to event hosts, ensuring all aspects of event logistics—from setup and custodial coverage to tear down and facility access—are meticulously managed to provide seamless participant experiences.

The Scheduling & Events Coordinator’s responsibilities extend to managing daily operations at various notable venues, including the Sports Dome, Fitzgerald Field House, and Trees Hall. Collaboration with campus partners such as athletics, facilities management, integrated security, and custodial services is essential to effectively coordinate the diverse logistics associated with both formal and informal recreation events, special reservations, and rentals. A key part of the job is also the creation and implementation of policies and procedures that steer facility reservation processes and continuous operational improvements while aligning with the university's strategic goals.

Beyond operational management, this role carries a significant leadership component focused on the development of student staff. The coordinator oversees a team of 35 event staff members, emphasizing service delivery excellence and the cultivation of an engaging, inclusive environment for all participants and employees. Training initiatives are designed to enhance student staff skills in communication, problem-solving, leadership, time management, and customer service, preparing them with transferable life and career competencies.

The position also entails participating in departmental onboarding, training sessions, and recognition activities, maintaining active involvement in radio coverage and on-call rotations with the Facilities and Operations team. It is a demanding role requiring a flexible schedule to meet the needs of program participants and student employees. The role is partially hybrid, blending on-campus duties with remote work as determined by departmental needs.

Candidates considering this role must hold at least a Bachelor’s degree or an equivalent combination of education and experience, with a preference for a Master’s degree. The role demands a minimum of three years’ experience in managing facility scheduling and event logistics, preferably within collegiate recreation, community, or sports facilities. Certification in First Aid/CPR/AED is required, or candidates must obtain certification within six months of hire.

The salary range for this position is $43,895 to $49,034 annually. The University of Pittsburgh maintains an equal opportunity employment policy and requires background checks and child protection clearances in compliance with Pennsylvania state law for all new hires. Relocation assistance and visa sponsorship are not offered for this position. This role offers an exciting opportunity to contribute to a cutting-edge campus facility, support student development, and play a critical role in enriching the campus recreation experience at a leading research university.
