The opportunity available is for the role of Special Events Scheduler. This pivotal position supports multiple iconic retail banners, including Jared, Kay, Peoples, and Zales, by managing and coordinating an extensive annual calendar of approximately 11,000 vendor special events. The Special Events Scheduler plays a crucial role in developing the requirements and logistics necessary to execute vendor and in-house special events seamlessly. This involves creating, maintaining, and optimizing the events calendar to ensure appropriate timing and alignment with promotional and holiday schedules.
The role requires a proactive, detail-oriented individual who can effectively collaborate cross-functionally with merchandising, brand leadership, operations teams, and vendors to identify and implement new special event opportunities that enhance customer engagement and drive sales. The scheduler is responsible for resolving scheduling conflicts, managing communications, preparing presentations, and supporting the Special Events Manager by monitoring event performances and assisting with labor and staffing planning during peak periods. Job Requirements
- Bachelor's degree
- 2+ years experience in a similar work setting
- 1+ years experience in project management, retail operations, or related field
- Strong project management skills
- Excellent verbal and written communication skills
- Advanced proficiency in Microsoft Office and collaboration tools
- Ability to build and maintain collaborative relationships
- Highly organized and detail-oriented
- Strong analytical and problem-solving skills
Job Qualifications
- Bachelor's degree and 2+ years experience in a similar work setting
- 1+ years experience in project management, retail operations, or related field
- Strong project management skills with the ability to prioritize, manage, and execute multiple projects simultaneously
- Excellent verbal and written communication skills including the ability to present clear, concise recommendations to leadership
- Advanced proficiency in Microsoft Office and collaboration tools including Excel, Word, PowerPoint, Teams, and SharePoint
- Ability to build and maintain positive, collaborative relationships across departments and organizational levels
- Highly organized and detail-oriented with exceptional time management skills
- Strong analytical and problem-solving abilities using critical thinking and innovative approaches to address operational challenges
Job Duties
- Develop, maintain, and optimize the annual vendor special events schedule ensuring strategic timing, event spacing, and alignment with holiday and promotional calendars
- Manage a comprehensive special events calendar across Jared, Kay, Peoples, and Zales coordinating event dates with vendors to maximize performance and consistency across brands
- Partner with vendors, merchandising, and brand leadership to identify, evaluate, and implement new special event opportunities that drive sales and customer engagement
- Monitor, validate, and update event schedules, databases, and planning files to ensure accuracy across all systems, reporting tools, and customer-facing platforms
- Resolve scheduling conflicts and collaborate with vendors and business partners to identify alternative solutions that support event success and business objectives
- Prepare and distribute field communications related to special events including schedules, policies, procedures, training resources, updates, and operational guidance
- Review, update, and maintain special events policies, training materials, and documentation to ensure content remains current, relevant, and effective
