The opportunity available is for a Sales Office Manager position at Forest Lawn. This role plays a critical part in maintaining and improving the efficiency of the outside sales force structure, which directly impacts the company’s sales operations and client service quality. The Sales Office Manager is responsible for overseeing multiple facets of sales office administration including staff management, payroll, reporting accuracy, technological support, and sales compliance. The employment type is full-time with requirements to manage various office and sales support functions.
In this role, the Sales Office Manager will supervise and support Planning Advisors, ensuring optimal office presence and monitoring attendance and performance. The role includes hiring and managing Sales Office Assistants and overseeing the entire payroll process to ensure timely distribution of paychecks and paystubs. Maintaining clear communication channels between Planning Advisors, Client Accounts, and associated insurance companies is a key duty. The manager will be responsible for reviewing commission statements, sales unit reports, invoices, contracts, and insurance applications for accuracy and compliance with Forest Lawn’s policies and sales rules.
Moreover, the Sales Office Manager will handle technology issues within the office environment and assist in training Planning Advisors on the use of equipment and software. They will also prepare and manage important sales documentation, such as property deeds and sales contracts, ensuring all are handled accurately and data confidentiality is upheld to protect client information. Other administrative duties include budget management for petty cash, scheduling safety meetings, and managing sales disputes documentation.

Job Requirements
- HS diploma/GED required
- 3 years’ experience in sales environment
- prior management experience
- attainment of Life Insurance License within six months of hire date
- basic knowledge of MS Word, MS Excel, and MS Outlook
- excellent customer service and communication skills
- must be able to problem solve – think outside the box and within Forest Lawn policies to get Planning Advisors what they need to successfully complete their sale
Job Qualifications

- Cemetery/Mortuary or Insurance sales experience preferred

Job Duties
- Maintain the outside sales force structure by monitoring the percentage of time the Planning Advisors are in the office
- Responsible for the time and attendance system of new Planning Advisors during the 16-week training period
- Interview, hire, and supervise Sales Office Assistants
- Ensure all paychecks, along with paystubs, are available to the Planning Advisors in a timely manner
- Create, approve, and submit EDT for all employee data changes to Human Resources
- Review and approve and submit all invoices appropriately
- Review and track weekly verification reports from each Planning Advisor
- Review all commission statements and sales units reports for accuracy and report any discrepancies accordingly
- Distribute commissions statements, sales units report, and all other related reports to the Planning Advisors and resolve any questions, concerns, or request for corrections
- Print and evaluate, on a weekly basis, delinquent reports for National Guardian Life, and make available to the Planning Advisors
- Print property delinquency reports and provide to the affected Planning Advisors
- Evaluate, alert, and work with Planning Advisors to correct any omissions or errors in contracts
- Work closely with the Client Accounts department on a variety of issues
- Manage technology issues in the office
- May assist Field Sales Manager with the training of new Planning Advisors and technology-deficient existing Planning Advisors on the usage of equipment and software provided by the Association, including equipment such as PCs, laptops, cellular phones, printers, fax and copy machines
- Oversee communication between Planning Advisor and Client Accounts
- Oversee communication between Planning Advisors and Funeral Planning Insurance Company designated by Forest Lawn
- Ensure the security and confidentiality of data and client information and ensure office policies and procedures are adhered to
- Acquire thorough knowledge of Sales Rules and Forest Lawn policies and procedures
- Review all property contracts and insurance applications submitted by Planning Advisor for accuracy, validity of the lead source, and account for all funds submitted
- Schedule and conduct monthly safety meetings or as directed by the Office of the Sr. Vice President of Advance Planning
- Manage a petty cash budget for the office
- Collect relevant documents and other evidentiary material regarding sales disputes
- Formulate any reports in Excel, Word, and MS Outlook as needed
- Ensure that all deeds sent to the region for the purpose of delivery to the families are prepared, registered in the ledger, and promptly delivered and reported as delivered
- Assist Regional Sales Director with the organization of events, ensure that the displays and material needed are available and in good working order
